Location: Duke Hospital, 2301 Erwin Rd, Durham, NC 27710 North Carolina Work Schedules: 1st shift (6:00 AM - 2:30 PM) Monday-Friday with alternating weekends and or 2nd Shift (2:00PM - 10:30PM; Monday - Fridau with alternating weekends General Description This role performs duties in computerized order entry, distribution of supplies, linen, and equipment, and the shipping and receiving of hospital merchandise. The position maintains effective inventory management by meeting supply needs with prompt delivery, ensuring the accuracy of issues, and ensuring the good working order and availability of equipment. Duties and Responsibilities of this Level Level 1 Level 1 associates are responsible for at least one of the following areas to ensure optimal inventory management for in-scope facilities. In accordance with established policies and procedures, Level 1 staff are required to: Distribute and restock supplies and/or linen to end-users. Use appropriate Supply Chain technologies (e.g., Pyxis and SAP) to document the movement of supplies. Perform regular cycle counts to ensure the accuracy of stock levels. Check expiration dates on supplies, documenting and discarding expired products as needed. Accept and sign for deliveries from distributors. Inspect shipments, enter Goods Receipts into SAP, and file packing slips. Report identified shipment discrepancies to on-site Supply Chain management. Prepare and ship vendor returns and rotate stock in all areas. Move and stock supplies in appropriate shelving locations once receiving is complete. Transport shipments from the loading dock to the stockroom and deliver packages to the correct recipients. Deliver non-supply items (e.g., medical gas, linen) in a timely manner. Participate in and perform mid-year and year-end inventory counts. Ensure all STAT orders are completed according to specified service level agreements. Demonstrate excellent customer service when interacting with end-users to address supply and linen questions. Ensure all Supply Chain work areas and supply storage areas throughout the facility are clean and organized. Proactively provide recommendations on operational efficiency improvements to Supply Chain management. Level 2 In addition to the Level 1 responsibilities, a Level 2 associate is expected to spend at least 50% of their time performing the following functions: Act as a mentor and preceptor to all Level 1 Supply Chain Associates; serve as a back-up Team Lead if necessary. Demonstrate excellent customer service when interacting with customers in all areas, including nursing floors and OR environments (e.g., physicians, surgical techs, nurses), to address supply-related questions. Deliver, manage, and coordinate supplies and other products to off-site clinics and/or facilities as needed. Manage inventory, assist in preparations, and perform the annual inventory. Oversee consignment inventory, related processes, and inventory management of procedural areas. Proactively collaborate with Supply Chain stakeholders to adjust PAR levels and address slow-moving items based on usage. Troubleshoot supply shortage issues and articulate the known impact. Effectively use the ERP system to pull reports, find products, use handheld technologies for delivery and PAR replenishment, and run reports in SAP to close out daily transactions. Serve as a Subject Matter Expert (SME) for the TIMS module, including receiving and documenting. Pull EPIC and Pyxis reports and analyze data to provide appropriate recommendations. Participate in PERT, OR EDIT, and VAT discussions as assigned. Access and utilize Vendormate for vendor management as assigned. Work with customers to help reconcile invoices as needed. Complete all assigned tasks with minimal supervision from the Team Lead and Manager. For Levels 1 & 2 All associates must have the ability and willingness to perform additional job functions necessary to ensure safe patient care practices as directed by Supply Chain management. Associates are required to be cross-trained and perform other Supply Chain-related responsibilities when needed.
