About The Position

The Ransom Center is an internationally renowned humanities research library and museum at The University of Texas at Austin. Its extensive collections provide unique insight into the creative process of writers and artists, deepening our understanding and appreciation of literature, photography, film, art, and the performing arts. Visitors engage with the Center's collections through research and study, exhibitions, publications, and a rich variety of program offerings, including readings, talks, symposia, and film screenings. The Ransom Center encourages discovery, inspires creativity, and advances understanding of the humanities for a broad audience through the preservation and sharing of its extraordinary collections. The purpose of this position is to assist the Business Office in the day-to-day operations of the Ransom Center, including supply management and specialization in receiving. This position is salaried, 40 hours per week, Monday through Friday, 8 am to 5 pm.

Requirements

  • High school graduation or GED.
  • Three years of experience with clerical functions.
  • Experience managing multiple, conflicting deadlines and priorities.
  • Experience working within a busy office environment with frequent interruptions.

Nice To Haves

  • Experience working with UT DEFINE and FRMS for purchasing, including Point Plus and UT Market.
  • Experience with tracking inventory and stocking supplies.
  • Familiarity with Microsoft Excel, Outlook, and Microsoft 365 applications.
  • Knowledge of UT accounting policies and procedures.
  • Experience operating power equipment including forklifts and pallet jacks.

Responsibilities

  • Order, restock, and manage inventory of supplies for the Ransom Center, including specialized archival supplies and materials, general office supplies, IT equipment, and breakroom supplies.
  • Coordinate with Facilities Manager to assemble and move office furniture.
  • Receive and distribute materials and supplies throughout the building, including large and palletized shipments and fragile collection materials.
  • Check deliveries for accuracy, and process credit or return requests for damaged or missing items.
  • Operate and inspect pallet jacks, dollies, and power equipment including pallet jack, straddle stacker, and scissor lift table and dollies.
  • Work with Ransom Center staff including curators, conservators, archivists, and librarians to survey supply needs and identify appropriate materials and vendors.
  • Liaise with vendors to establish them in UT’s system, request quotes, and manage invoices.
  • Process patron orders and petty cash income.
  • Use Define and Request System to process income vouchers as well as assist with creating payment vouchers.
  • Track and record payment vouchers and reconcile payments.
  • Pick up and deliver/distribute mail, equipment and packages throughout the building.
  • Prepare and monitor outgoing shipments, including express shipments and those requiring special handling.
  • Act as courier for deliveries on or near campus.
  • Assist with tracking computer inventory and loaner machines.
  • Liaise with technology services to replace/repurpose/repair computers according to warranty and expected life cycle.
  • Manage Ricoh printer fleet, ordering toner or other supplies and arranging maintenance visits as needed.
  • Serve as back-up for Director's Office receptionist, greeting visitors and receiving/distributing phone calls using a multi-line phone system.
  • Responsible for preparation of morning coffee for the Center one day per week and other times as needed.
  • Maintain clean and functional designated food prep and break room areas.
  • Other related and miscellaneous functions as assigned.
