About The Position

The Supervisor, Surgery Scheduling oversees the day-to-day operations of the department. Organizes and supervises the daily workflow, creates department schedules, and reallocates team members and resources based on business need. She/he will makes independent decisions and takes action regarding routine and complex staffing and unit workflow issues. Serves as the primary liaison between physician clinics, patients, team members, Perioperative staff and Perioperative leadership across entire ThedaCare system. Ensures compliance with regulatory agency requirements, and that department policies and procedures are being followed. Promotes and strengthens team member engagement, process improvement initiatives, physician clinic and patient satisfaction, and workplace safety. Incumbent will maintain and enhance interpersonal relationships with physician clinic l staff, Perioperative team members and department staff. The Oncology Supervisor, Surgery Scheduler has oversite of the scheduling and coordination of care for Cancer Center patients to ensure that necessary information is in place to support quality, timely service. This includes scheduling diagnostic, hematology, radiation, and infusional services. Performing coordination for care navigation with patient financial advocacy collaboration. In addition, communicating essential information to patients regarding the services being ordered for both medical oncology and radiation oncology. The Oncology Supervisor, Surgery Scheduler oversees these functions while meeting the mission and goals of ThedaCare and regulatory compliance requirements. The Oncology Supervisor, Surgery Scheduler position has a home base at ThedaCare Regional Cancer Center Appleton, however will be required to travel to outreach clinics located in Berlin, Neenah, Oshkosh, Waupaca, New London and Shawano. Travel expenses will be reimbursed. The shift will be Monday through Friday, 8 AM to 4:30 PM. No weekends or holidays.

Requirements

  • Bachelor’s degree in a related field preferred.
  • Two years of clinical experience required.
  • Two years of progressive leadership experience including leading work teams and/or projects.
  • Ability to move freely (standing, stooping, walking, bending, pushing, and pulling) and lift up to a maximum of twenty-five (25) pounds without assistance
  • Job classification is exposed to blood borne pathogens (blood or bodily fluids) while performing job duties
  • Position requires compliance with department specific competencies.

Responsibilities

  • Responsible for successful execution of daily department functions.
  • Provides input to and supports the operations and fiscal health of the department to achieve business goals.
  • Assists team members to ensure scheduling of procedures and testing has occurred and necessary resources are available prior to a procedure.
  • Oversee the quality program (metrics) for the department and ensures that all standards are met.
  • Assists with the development, implementation, and data collection processes.
  • Ensures that current licensure, competencies, safety, BLS, and infection control processes are up to date and followed in the department
  • Coordinates and ensures that team members have the appropriate training in new processes and equipment changes, including clinical documentation.
  • Ensures professional practice standards are met through reviews, meetings, reports, and observation of results.
  • Monitors scheduling cadence and supports department workflow.
  • Oversees supply ordering and ensures adequate cost controls are in place to meet financial standards.
  • Serves as occupational/environmental health liaison for the department.
  • In collaboration with the department manager, provides input into the hiring process and is responsible for successful orientation of team members.
  • Develops performance expectations, coaches, evaluates, and motivates team members. Investigates complaints and performance concerns.
  • Ensures team members are in compliance with ThedaCare and department policies, regulatory requirements, and laws.
  • Coaches team members to work safely to prevent injuries and ensure an ethical, non-discriminatory, and safe work environment.
