About The Position

Organization: S3-Sutter Shared Services-Valley Position Overview: Manages the day-to-day operations of the department including, but not limited to, the cost-effective procurement of supplies, equipment, and services for assigned area/affiliate/region which may include hospitals, care centers, support service departments and ancillary services. Participates in the negotiation of contracts and ensures compliance with contracts for products and/or services. Utilizes reporting tools and enabling technologies to gain operational insight in order to identify and manage problems and propose resolutions. Requirements

  • HS Diploma or General Education Diploma (GED)
  • 5 years of recent relevant experience.
  • Experience in establishing work processes, quality, and productivity standards and policies/procedures designed to ensure optimal department performance.
  • Knowledge of supply chain and materials management principles and related functions in a healthcare setting.
  • Knowledge of healthcare products and equipment, inventory sources, and alternate sources of supply, purchasing, contract negotiation administration and new/emerging trends in the procurement industry.
  • Verbal and written communication and interpersonal skills.
  • Leadership skills, including team building, and coaching/mentoring with the ability to motivate and engage others.
  • Effective negotiation skills.
  • Organizational and time management skills, with the ability to prioritize multiple projects while delivering quality service/achieving business results.

Responsibilities

  • Oversees the cost-effective procurement of supplies, equipment and associated inventory within the region and assigned affiliate(s).
  • Supervises purchasing staff responsible for the purchasing of all materials and supplies necessary for the efficient function of assigned affiliate/area.
  • Coordinates, reviews, analyzes, evaluates and expedites capital equipment purchases.
  • Monitors vendor performance and pricing.
  • Works closely with department management to ensure department goals and objectives for materials, services, and equipment are met.
  • Makes daily rounds with staff to ensure staff have appropriate tools and resources to complete assignments accurately and timely. Conducts service recovery when necessary.
  • Serves as a resource to team, providing direction for issue/problem resolution and responding timely to escalated issues.
  • Develops and implements standard work, processes and workflows to ensure effective and efficient operations while soliciting feedback from staff.
  • Participates in the initiation, coordination, and implementation of the supply and equipment bid process for contract awards.
  • Involved in departmental goal setting process and communicates goals to staff.
  • Monitors staff productivity, ensuring optimal use of resources and makes appropriate changes in response to fluctuations in workload.
  • Provides input to leadership chain of command on current and future needs of personnel to meet needs of clients and/or operational demands.
  • May prepare reports and/or analyses, identifying operational trends and recurrent issues, and recommends and implements course of action.
  • Assists with identifying and implementing purchasing cost savings opportunities with regard to standardization with products, processes, systems.
  • Negotiates with vendors and sales representatives continually looking for the most cost effective, clinically acceptable products.
  • Analyzes negative supply variances and develops and implements corrective action plans. Evaluates and implements opportunities for enhancing cost effective delivery of services and supply recommendations.
  • Supervises assigned staff, makes or provides input into hiring and termination decisions, develops work schedules, and reviews and approves timekeeping records.
  • Sets and maintains expectations with all direct reports and holds individuals and work teams accountable.
  • Evaluates staff performance and recommends associated merit increase. Provides constructive feedback, coaching and counseling. Implements disciplinary actions and/or performance improvement plans to achieve desired performance. Works with leadership when major disciplinary action is necessary and, if appropriate, in consultation with Human Resources.
  • Provides opportunities for career development, role expansion, and cross-training.
  • Conducts staff meetings for informative and educational purposes.
  • Responds timely to alleged violations of policies, procedures, regulations and standards of conduct by evaluating or recommending the initiation of investigative procedures.
