Growing together. As directed, coordinates the daily support operations of one or multiple Visual Services Department. Responsibilities may include appointment schedules, patient flow, provider schedules, clinical reception, and area ambiance. Ensures that work unit meets performance standards and identifies and recommends solutions to operational barriers. As a certified ophthalmic technician and/or certified retinal angiographer, is able to provide technical support to Department Providers, as needed, and technical oversight for certified ophthalmic technicians and retinal angiographers on site. Additionally responsible for the oversight of the front desk and administrative tasks completed by department business support. May assist with monitoring, management and development of department budgets.

Requirements

  • Certified ophthalmic technician (COA) and/or certified retinal angiographer (CRA) or the ability to obtain within 90 days of hire
  • Advanced Cardiac Life Support (ACLS) may be required based on specialty
  • 2+ years of experience as an ophthalmic technician or retinal angiographer preferably with at some experience in a lead or supervisory role in a visual services environment
  • Knowledge of medical support functions in an ambulatory care setting, acquired through 18 months in a medical support role (e.g., medical assistant) in an outpatient facility
  • Proven ability to use all electronic tools and applications relevant to the performance of the duties of the position, including but not limited to phone, keyboard, computer and computer applications
  • Proven ability to perform all job functions in compliance with applicable federal, state, local and company policies and procedures
  • Accesses only the minimum necessary protected health information (PHI) for the performance of job duties.
  • Proven ability to comply with all Atrius Health and departmental privacy policies, procedures and protocols. Follows HIPAA privacy guidelines without deviation when handling protected health information
  • Proven ability to actively protects the confidentiality and privacy of all protected health information they access in all its forms (written, verbal, and electronic, etc.) taking reasonable precautions to prohibit unauthorized access
  • Proven excellent interpersonal skills needed with the ability to interact effectively with patients and medical professionals at all levels

Responsibilities

  • Supervises plans, assigns, and directs work of subordinates. Works with Regional Manager to assure appropriate staff coverage including back-up coverage
  • Works with team leads and/or subordinate supervisors to ensure adequate clinical and support coverage within departments of responsibility. Resolves problems and/or recommends solutions on Service and departmental issues. Keeps manager and/or Service Line updated on significant operational issues that require escalation
  • Operationalizes Service Line and organization initiatives. Develops with manager appropriate processes and ensure efficient and effective implementation at all phases of the patient care model defined by the Service Line
  • May provide back-up supervisory support for other areas and/or locations within or across region(s) on an as needed basis
  • Performs optic testing requiring a high level of technical skill, which includes: Retinoscopy, manual refraction, measuring deviation with prisms, manual Keratometry, potential acuity meter, Phoropter, Pachemetry, Immersion Scan, and B-Scan. Must be skilled in the all areas of Ophthalmic Technical Support & Photography (e.g. Fundus Photography, External Photography, Slit Lamp photography, ophthalmic imaging, OCT, HRT)
  • Maintains awareness of new technical developments in the field of ophthalmology and optometry and applies that knowledge to departmental operations
  • Works with outside vendors to assure that Department equipment is maintained in the proper working condition
  • Understands and achieves a high level of competence in all support staff roles. Fills in for staff as needed to provide appropriate support of the department. Exhibits exemplary patient manner and serves as a role model for support staff
  • Implements new operational procedures in accordance with established guidelines. Monitors staff understanding of procedures and ensures new procedures are implemented correctly. Provides feedback to management on status of implementation process
  • Acts as primary contact for patient inquiries, problems and complaints. Refers interdepartmental and clinical issues to appropriate resources
  • Monitors appointment schedules for booking accuracy. Processes schedule changes and implements new schedule formats as required. Maintains accurate records of clinician time for statistical purposes
  • Assists in orientation of new providers, including telephone use, appointments and medical records system
  • May collect data for use in the management decision-making process. Completes standard reports required for the management of the unit
  • Assures assigned areas confirm to standards of appearance and that the work and exam rooms are neat, clean, adequately stocked and conform to state and local health standards
  • Coordinates purchasing of supplies and equipment and maintains adequate inventory. Works with Building Services and Purchasing to secure supplies and equipment necessary to operations
  • May assist in the monitoring and management of departmental operating budgets. May monitor budget variances. May be involved in budget development process. May be asked to provide budget reports
  • May handle scheduling, timesheet and payroll issues for staff
  • Performs other duties as assigned
