About The Position

We are seeking a Supervisor of the Veterinary Client Service Representative Team who is passionate about exceptional customer service, patient care, and teamwork. The ideal candidate is someone who not only loves dogs and cats but also excels in client communication and is committed to delivering the highest level of care to both our clients and their animals within our community. This position is responsible for overseeing and supporting the Veterinary Client Service Coordinator team while performing essential record-keeping and clerical duties related to animal patient care and treatment. The Supervisor plays a critical role in facilitating efficient hospital flow and serves as the first and last point of contact for our clients, helping to ensure a positive and compassionate experience. This role requires practical knowledge of hospital organization and services; an understanding of the rules and regulations governing visitors and animal patient treatment; and proficiency in data entry, word processing, and medical record management. A working knowledge of standard veterinary procedures, medical records, and veterinary terminology is essential.   • Associate’s degree required, bachelor’s degree preferred.
  • Minimum of two (2) years of customer service experience in a supervisory role within a fast-paced environment, supporting a diverse range of client needs.
  • An equivalent combination of education and relevant experience that is directly related to the position requirements may be considered instead of the stated education and experience.

Responsibilities

  • Serve as a mentor to team members by modeling positive work habits, strong leadership, and exceptional customer service.
  • Coach team members to remain proactive and attentive to animal needs, while recognizing when to seek support during escalated or stressful situations.
  • Manage, supervise, and coordinate the daily functions of the Veterinary Client Service Coordinator team, including planning, scheduling, and organizing workflows to ensure efficient use of personnel, space, and facilities.
  • Provide input and actively participate in performance evaluations, feedback, and coaching opportunities in collaboration with the Practice Manager.
  • Develop and organize training schedules for the Veterinary Client Service Coordinator team, both individually and in group settings.
  • Oversee, develop, and monitor staff work schedules, including managing and approving PTO requests.
  • Ensure all documentation related to animals, clients, and staff is accurate, complete, and maintained in accordance with hospital standards.
