About The Position

The Preventative Maintenance (PM) HVAC Supervisor is responsible for leading the district's HVAC preventative maintenance and commissioning programs, including management of the HVAC PM crew, oversight of filter inventories and replacement schedules, and coordination with Direct Digital Controls (DDC) technicians. This role ensures all district HVAC systems operate efficiently, reliably, safely, and in accordance with district standards through proactive maintenance and commissioning practices. The Supervisor also supports the Design and Construction Department by assisting with commissioning and quality control of new construction, renovation, and major mechanical replacement projects. Acting as a technical and operational subject matter expert, this position helps ensure mechanical systems are installed correctly, operate as intended, and are maintainable prior to acceptance and turnover. The Supervisor will demonstrate strong technical knowledge, leadership, initiative, and a high degree of dependability.

Requirements

  • Mechanical Journeyman License
  • Valid Kansas Driver's License

Responsibilities

  • Supervise, direct, and evaluate the HVAC PM crew, ensuring high standards of workmanship, safety, and customer service.
  • Assist with hiring, onboarding, coaching, and performance management of assigned personnel.
  • Conduct training to ensure staff competency in HVAC preventative maintenance procedures, commissioning support activities, filter installation standards, and safety protocols.
  • Maintain and routinely update the districtwide HVAC filter inventory list for all schools and support facilities.
  • Ensure timely ordering, receiving, and distribution of filters to meet scheduled replacement cycles.
  • Develop, maintain, and implement preventative maintenance schedules for all HVAC systems, documenting work completion and equipment condition.
  • Monitor maintenance data, identify recurring issues, and recommend corrective actions or capital planning improvements.
  • Train staff to use Direct Digital Controls (DDC) systems to function-check valves, dampers, starters, drives, and other controlled devices.
  • Train staff to verify and validate sensors on both the water and air sides of HVAC systems.
  • Develop and maintain Standard Operating Procedures (SOPs) for commissioning activities by equipment type.
  • Catalog commissioning findings, deficiencies, and corrective actions.
  • Oversee or coordinate the repair, calibration, or replacement of defective devices, sensors, and components as needed.
  • Integrate commissioning outcomes into preventative maintenance documentation and long-term asset planning.
  • Assist the Design and Construction Department with commissioning activities for new construction, renovations, and major mechanical replacement projects.
  • Participate in pre-functional inspections, equipment startup, functional performance testing, and system verification.
  • Review sequences of operation, control strategies, and commissioning documentation from an operational and maintenance perspective.
  • Verify proper installation, accessibility, and operation of HVAC equipment, including air handling units, packaged units, chillers, boilers, pumps, VAV boxes, exhaust systems, and associated controls.
  • Support verification of airflow, water flow, sensor placement, calibration, valve and damper operation, and system safeties.
  • Document quality control and commissioning observations and coordinate corrective actions with contractors, DDC technicians, and Design and Construction staff.
  • Assist in evaluating readiness for system turnover, including review of O&M manuals, warranties, as-built drawings, and required training.
  • Provide feedback to Design and Construction regarding system maintainability, service access, and long-term operational considerations.
  • Support post-occupancy and seasonal commissioning to address warranty issues and performance concerns.
  • Work closely with DDC technicians to verify proper system operation, troubleshoot control issues, and support efficient HVAC performance.
  • Ensure PM staff understand basic DDC interactions, including occupancy schedules, alarms, reporting, overrides, and equipment status.
  • Maintain accurate records, including preventative maintenance logs, commissioning reports, filter inventories, and equipment condition documentation.
  • Purchase materials and equipment in accordance with district procedures and timelines.
  • Prepare and monitor the work unit's long-range preventative maintenance plan and annual budget, operating within approved limits.
  • Assist in planning and estimating labor and material costs for HVAC-related maintenance and capital projects.
  • Ensure compliance with district safety standards and proper use of personal protective equipment (PPE).
  • Respond to after-hours emergencies or critical equipment failures as required.
  • Coordinate with Energy PM Managers to ensure HVAC units are neither omitted nor duplicated between maintenance programs.
  • Maintain positive working relationships with school staff, administrators, contractors, and other Facilities personnel.
  • Communicate clearly and effectively, both verbally and in writing, regarding schedules, equipment conditions, deficiencies, and recommendations.
  • Always represent the Facilities Division professionally.
