Job Profile Summary The HIM Supervisor is responsible for the direct supervision and management of the HIM department. Responsibilities include, but are not limited to, monitoring adherence to department budget, staff development & performance evaluation, internal and external customer relations, ensuring compliance with all regulation and accreditation related to HIM, responding and documenting request and release of Medical Records, ensuring appropriate protection of and when appropriate release of patient protected health information (HIPAA compliance), and participation in quality assurance activities.

Requirements

  • Associate's degree required; Bachelor’s degree preferred
  • Minimum of four (4) years of experience in Health Information Management field
  • Up to one (1) year of supervisory or lead experience
  • RHIA or RHIT Certification or ability to obtain within six months
  • Strong computer skills; proficient with EMR and Microsoft Office including Excel.
  • Ability to follow written and verbal directions
  • Ability to demonstrate high levels of personal and professional accountability and responsibility
  • Self-directed and able to perform duties independently
  • Ability to problem-solve and apply critical thinking skills
  • Proven ability to maintain confidentiality

  • Strong knowledge of HIM standards, state and federal regulations, CHAP and Joint Commission standards for Hospice
  • Satisfactorily complete competency requirements for this position.

Responsibilities

  • Interacts directly with HIM leadership in the operation and management of the HIM department, including adherence with the department’s budget and goals.
  • Ensures HIM compliance with federal and state regulations, CHAP and Joint Commission requirements.
  • Achieves expected productivity standard as defined by the organization and in alignment with best practices.
  • Proficient in all software relevant to the EMR.
  • Uses data to monitor department performance and to drive the department’s initiatives.
  • Ensures adequate departmental staffing to meet the needs of the Organization. During period of staffing shortages, prioritizes workloads to ensure that essential duties are met
  • Maximizes the use of internal resources to improve department performance and efficiency.
  • Conducts staff annual evaluations and 90 day evaluations. Ensures staff compliance with HR policies.
  • Ensures that essential documents are accurate/compliant and obtained timely for billing purposes.
  • Responsible for the release of Medical Records, including third party audit requests. Ensures requests meet time requirements and are logged/tracked for follow-up.
  • Oversees the compilation of daily billing errors and monitors the timely resolution of those errors to mitigate loss in revenue.
  • Participates in performance improvement activities.
  • Assists management with audits and on-going monitoring programs.
  • Prepares compliance monitoring/auditing reports for the Director.
  • Performs other duties as assigned.
