Assists Program Administrator (PA) with day-to-day oversight of residence through supervision of assigned direct support staff and those on shift, ensuring that DSP-RBTs and Back-up Leads assigning duties and ensuring staff perform tasks in accordance with all applicable requirements, observing and assisting with tasks, implementing immediate corrective actions when needed and reporting, tracking and/or escalating issues or concerns of persons supported and staff. Consults with program leadership, clinical staff, external consultants, community providers and other program staff to ensure streamlined and top-quality care for individuals, ensuring services are provided in accordance with agency philosophy and department practices and in line with Federal, State, Local and regulatory requirements. Ensures the appropriate, therapeutically documented level of supervision in all settings to ensure and protect the health, safety and habilitation of the people we support in accordance with each person’s individualized service and behavior support plans through direct support and/or oversight of staff. Utilizes support skills for people with moderate to complex levels of need and implements plans of protective oversight, as well Individual Behavior Support Plans (IBSPs)/ Individualized Program Plans (IPPs) for all people we support in a clean, safe and organized therapeutic environment and ensures appropriate implementation by direct support staff on shift. Demonstrates and models professionalism and all skills of Direct Support Professional - Registered Behavior Technician with a person-centered and trauma-informed approach and provides coverage, regularly performing all direct care responsibilities as indicated in DSP-RBT job description, as needed. Assists with ensuring smooth program operations by maintaining oversight and compliance of systems including scheduling staff, completing daily shift reports, ensuring required postings are visible and replaced if damaged (e.g., weekly menus, activity schedule, weekly schedule, house values, labor postings, resident rights) and ensuring tracking logs are maintained (e.g., vehicle log, refrigerator log, freezer log, medication handoff) on shift. Provides effective leadership on shift and develops a team that provides quality care and positive outcomes by establishing a work environment that is free from harassment and discrimination and fostering an open-door policy, using participatory management to maintain direct relationships with staff and bolster morale. Directly supervises assigned DSP-RBTs and Back-up Leads and others working during shifts, communicating and consistently applying all rules, standards and policies with staff, regularly directing activities to ensure the needs of the people we support are met. Regularly assesses work performance and provides feedback to direct reports through ongoing supervision, observation and development, ensuring completion and appropriate documentation of all applicable training, education and credentials in electronic and paper files in accordance with all applicable requirements. Actively participates in the hiring process with PA, interviewing, selecting and developing qualified staff and scheduling staff accordingly to maintain coverage on shift, with consideration for scheduled time off, unscheduled absences and operational needs, including community or off-site activities. Initiates, reviews or approves staff status and work hour changes, promotions, demotions, transfers, terminations and/or other adjustments for staff, ensuring changes are appropriately submitted in Workday in a timely manner. Ensures timekeeping records and approvals through Workday are completed accurately and on a timely basis to support payroll processing; identifies concerns with attendance, work hours and/or time tracking, resolving with staff or coordinating resolutions and coverage with PA, when needed Maintains and appropriately documents inventory and storage of food, household and toiletry supplies and over the counter medications including controlled medications, in collaboration with PA and other shift leads, in accordance with applicable regulations and policies. Supports and/or facilitates interdisciplinary team meetings to ensure effective communication and coordination of care with circles of support including but not limited to, the people we support, their family members and representatives, YAI staff and consultants, Regional Center staff, regulatory surveyors, neighbors, local law enforcement, external healthcare providers and other community members, when applicable. Serves as Facility Manager for residence on assigned shifts with responsibility for conducting and accurately documenting all drills (emergency, fire, earthquake, etc.) and completing daily/weekly physical plant checks and water temperature log in accordance with Title 22, Title 17 and agency standards; uploads work orders to housing developer for maintenance issues, as needed. Supports the completion and maintenance of all paperwork and written records related to individual treatment, including but not limited to medical records, treatment records, progress reports, data collection, behavior reports, incident reports, billing records, and all written communication systems, reviewing to ensure compliance by DSP-RBT staff in recordkeeping in appropriate systems, before shift’s end. Completes all incident reporting, including Special Incident Reports and makes all required notifications as per regulations; contacts necessary vendors for property damages and notifies the PA. Manages and accurately documents financial ledgers of the people we support. Actively participates in program and person-specific meetings including but not limited to shift reports, Interdisciplinary Behavioral Support Team (IBST), staff meetings, refreshers, staff trainings, debriefing and/or leadership meetings and leads shift meetings to ensure communication of updates to assigned staff. Provides driver certification and training to DSP-RBTs including driving facility van to transport people we support and following checklist. Complies with and ensures that staff complies with all Federal, State, Local and/or other oversight agency laws, rules, regulatory or program requirements, including the Health Insurance Portability and Accountability Act (HIPAA). Completes and maintains all necessary trainings and certification/license requirements based on program and position to ensure compliance with YAI policies and licensing regulations, as needed and applies skills. Performs all other duties as assigned including performing all duties of Lead RBT/LPT and/or DSP-RBT to provide coverage, as needed.
