About The Position

The Practice Supervisor will play a pivotal role in overseeing the daily operations of a medical group office, ensuring efficiency, accuracy, and adherence to organizational policies and procedures. This individual will play a crucial role in ensuring the smooth functioning of the healthcare office by supervising administrative tasks, coordinating staff schedules, maintaining efficient workflows and fostering a positive patient and employee experience.

Requirements

  • Bachelor’s degree in business management, healthcare administration or equivalent work experience.
  • 1 year of experience in a healthcare setting.
  • Demonstrated leadership and interpersonal skills with the ability to motivate and inspire a team.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Proficiency in electronic health records (EHR) systems.
  • Knowledge of healthcare regulations and compliance standards, including HIPAA compliance.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to adapt to changing priorities and work well under pressure.

Responsibilities

  • Supervise Office Staff:
  • Provide leadership, guidance, and support to office staff.
  • Delegate tasks, monitor performance, and provide ongoing training as needed.
  • Foster a positive work environment and promote teamwork among office staff.
  • Coordinate Workflow:
  • Streamline office processes and workflows to maximize efficiency and productivity.
  • Assign duties, prioritize tasks, and ensure that all operational activities are completed in a timely and accurate manner.
  • Patient Interaction:
  • Oversee patient scheduling, registration, and check-in processes.
  • Address patient inquiries, concerns, and complaints in a professional and compassionate manner.
  • Ensure that patients receive exceptional service and support throughout their visit.
  • Manage Administrative Functions:
  • Oversee the maintenance of patient records, billing activities, and other administrative tasks.
  • Ensure compliance with HIPAA regulations and other relevant healthcare laws and regulations.
  • Participate in the revision, implementation and communication of new policies and procedures.
  • Facility Management:
  • Coordinate maintenance and repair activities for the medical office.
  • Ensure a clean, safe, and welcoming environment for patients and staff.
  • Manage inventory of office supplies and equipment.
  • Patient Experience:
  • Serve as a primary point of contact for patient inquiries and concerns.
  • Implement policies and procedures to enhance the patient experience and satisfaction.
  • Address or escalate patient complaints and resolve issues in a timely and professional manner.
  • Quality Assurance:
  • Implement quality assurance measures to monitor and improve office performance.
  • Conduct regular audits, analyze data, and identify areas for improvement.
  • Develop and implement action plans to address any deficiencies or issues.
  • Collaborate with Leadership:
  • Work closely with medical providers, department managers, and other key stakeholders to achieve organizational goals and objectives. Participate in meetings, committees, and projects.
  • Keep Medical Group leadership and managers updated regarding issues, problems and progress on initiatives.
  • Staff Development:
  • Responsible for training and orienting new employees, fostering a culture of teamwork, accountability and professional development.
  • In partnership with leadership and Human Resources, provides input to performance management, hiring, transfers, corrective actions, terminations, etc.
  • Address day-to-day staff issues in a fair, timely and consistent manner, also in partnership with HR and leadership.
