About The Position

The Supervisor, Certificates, IRA & Tax Reporting will be responsible for the daily supervision, coaching, and coordination of the Certificates staff to ensure staff can best serve members and other employees within the Credit Union. This position is responsible for managing the workflow and will secure production by ensuring that staff members are trained with proficient skill sets, as well as by proactively removing obstacles to ensure a smooth and consistent workflow. The Supervisor has daily independent contact with potential new and existing vendors and internal customers/partners to ensure smooth, efficient operations of the entire department in partnership with the Manager. This position is the liaison between their team and upper Management, guiding their team through daily processes and/or projects, assisting with hiring new employees and monitoring employee performance to ensure maximum productivity. Will provide administrative and operational support for the Certificates team with a daily focus on IRA Processing, and will assist the Manager in other tasks including: operational issues and research resolution. This position requires a thorough and patient troubleshooting approach since each scenario is most likely unique based on the specific member’s need or agency involved. In addition, action taken must abide by tax guidelines, State and Federal regulations specific to this unit’s activities, accepted business practices and legal implications in order to service members effectively and protect Tower’s interests.

Requirements

  • AA degree plus 5 years related financial services experience required.
  • Bachelor’s degree or working toward a Bachelor’s degree preferred OR combination of education and experience
  • Two years supervisory/team lead experience
  • Demonstrated effective team leadership, personnel management, and production environment mindset and project management skills required.
  • Must possess an in-depth knowledge of Tower’s Certificate and IRA products and services
  • Requires exceptional ability to develop solutions for problems with abstract variables in ambiguous or unique situations without regular management oversight.
  • Within the scope of IRS guidelines, the incumbent must be able to perform independently and demonstrate a high level of understanding of the following IRA Processing functions: IRA quality control, plan and account establishment, contributions, and distributions, beneficiary designations, and form requirements.
  • The incumbent must be able to handle IRA-related phone calls, and support annual notice production including 1099 and 5498 tax files.
  • Required to meet all deadlines to ensure compliance with departmental and operating rule guidelines.
  • Requires effective and professional customer service to our members as well as internal partners, exhibiting team-based behavior as a role model for others.
  • Require creative thinking and authority to determine and take appropriate, timely action based on a wide range of random events without time to seek out support, agreement, or approval to proceed from others.
  • Must possess a broad scope of knowledge about products, services, regulations, and the overall functions and procedures of the department, and their interdependencies.

  • Has knowledge of and adheres to credit union policies and procedures and all regulations related to the Bank Secrecy Act, the USA PATRIOT Act and OFAC.
  • The requirement for this position is 100% onsite in order to manage all aspects of daily functions within the department.
  • Must be dependable, consistently ready for work as scheduled and effectively manage time at work with frequent interruptions
  • Ability to lift up to 20 lbs. with or without assistance.
  • Ability to work the hours needed which may extend beyond the defined work schedule when operating conditions dictate

Responsibilities

  • Provides daily supervision of operational work, determining workflow prioritization to ensure quality, quantity, and timeliness standards are attained and maintained.
  • Provides and/or requests relevant cross-training and back up support for team members to assist in their development and ability to meet team goals as well as for career path skill sets.
  • Completes performance evaluations and reviews and approves/denies time off requests.
  • Provides guidance and uses independent discretion working effectively by partnering with the Vice President, Manager and staff within the Deposit Operations department to promote a smooth and effective environment.
  • Participates and assists Manager in the selection and hiring process for Certificates Department.
  • Attends interviews and makes recommendations to Manager for hiring.
  • Establishes Individual Development Plan (IDP) with Manager to help personnel adjust and acclimate to environment including any organizational changes and Tower’s culture
  • Interacts daily with employees and outside vendors, members, employees, examiners, and Tower executives.
  • Serves as a knowledgeable resource for Vice President, Manager, and staff as well as responding to member and front-line inquiries, interpreting and communicating various product policies and procedures, applicable laws, standards and government regulations.
  • Completes routine reviews of monetary and non-monetary Traditional, Roth, and SEP IRA transactional data against corresponding forms and required documentation, core systems, and ancillary systems.
  • Ensures transactions, documentation and forms are complete and compliant according to internal policies and procedures as well as applicable federal and state regulations.
  • Records findings in quality control tracking spreadsheets; tracks, maintains and updates spreadsheets and documentation satisfactorily to completion.
  • Demonstrates consistency and good judgment when reviewing and resolving daily, weekly, monthly, seasonal and ad hoc reporting exceptions in order to maintain accurate member records.
  • Identifies and escalates sensitive issues to management as necessary.
  • Completes additional departmental functions as assigned, which can include but is not limited to: trust account processing, escheatment, back-up withholding processing, decedent member processing, CD account maintenance, or other member-initiated requests in accordance with established systems, regulations, policies, procedures and department guidelines on a daily basis.
  • Consistently demonstrates effective and timely communication with management, leadership, staff, third parties and members to efficiently resolve member and account issues.
  • Reviews transactions and requests and articulates services and products to members and third parties while maintaining professional security of sensitive member information.
  • Ensures all documentation is scanned, legible, and appropriately stored in ancillary systems.
  • Balances daily as well as meet established department deadlines and goals.
  • Ability and willingness to perform duties of the Certificates, IRA and Tax Reporting Representative I/II.
  • Communicates and upholds Tower Policies and Procedures as well as being responsible for implementation and control of Policies and Procedures to assure compliance with legal and regulatory requirements.
  • Must acquire and maintain a working knowledge and best industry practices of applicable policies-procedures, laws, audit practices and regulations to effectively lead the staff assigned in adherence.
  • Will guide/work with Manager regarding compliance items to create production coverage and cross training schedules based on staff availability regarding time off, training events and other commitments.
  • Proficiently and independently delivers various functional services in support of products within the department as the Subject Matter Expert (SME) for a seamless process and member support.
  • Will act as lead for ad hoc events to support Action Items, projects and special initiatives for overall success of the initiative.
  • Will partner with other Deposit Operations Leadership Team members for peer support and confidentiality, consistency in approach regarding role and team unification within Deposit Operations ensuring staff, our members and Tower benefit from synergy.
  • When Manager is out of the office or unavailable in meetings/training, this position serves as the primary backup, partnering with the Vice President, Deposit Operations for daily operational running of the department as needed.
