Job Summary The Administrative Supervisor oversees s cheduling, i nsurance, r egistration, m edical r ecords, t ranscription, and p re- a uthorization departments. Position is responsible for training, coaching, and mentoring staff as well as their accuracy and efficiency. Works closely with the d irector and the te chnical s upervisors to ensure the facilities meet environmental and security standards and compliance with government regulations. Recommends procedural changes to improve operations and o ther related duties as required . Serves as a primary liaison between facility and C redentialing P rocessing Center (CPC) on processes related to initial appointment, re-appointment, and clinical privilege . Oversees and supports the administrative functions of the executive offices to include the offices of the CEO, CNO and CFO. This position will lead the direction and management of the facility's medical staff services department (MSSD) activities.

Requirements

  • 3 - 5 years of leadership experience - required
  • Basic Cardiac Life Support (BLS/BCLS) required or must be obtained within 30 days of employment start date
  • Adult & Pediatric Advanced Life Support (PALS) required or must be obtained within 9 0 days of employment start date

Nice To Haves

  • Bachelors Degree - preferred
  • Associates degree and/or work experience in lieu of degree - considered
  • Certified Provider Credentialing Specialist - preferred
  • One (1) year previous experience with Credentialing Accreditation by Joint Commission or National Committee for Quality Assurance - preferred
  • Detailed working knowledge of the health care and credentialing industry, including medical-legal issues and laws, regulatory agencies, and other national standards - preferred
  • 5+ years of leadership experience - preferred

Responsibilities

  • Based on standard practice, responsible for coordinating, implementing and tracking initial credentialing and re-credentialing processes in accordance with departmental, organizational, medical staff and external policies and procedures. Keeps abreast of current requirements and any changes from regulatory agencies (Joint Commission, state laws and federal regulations) that impact these processes. Ability to apply this knowledge to credentialing practices.
  • Based on standard practice, collects, and reviews and prepares data for review by medical staff leadership on all requests for: change in membership category, modifications to clinical privileges, leaves of absences, temporary privileges, resignations, expedited applications, and proctoring.
  • Maintains accuracy of credentialing components of medical staff database (ECHO) system and hospital (SMS) information system, and related upgrades, in accordance with departmental policies and procedures. Adheres to departmental, organizational and Information System confidentiality standards.
  • Responsible for coordinating, implementing, tracking and analyzing the application and verification process for all initial appointments and reappointments to the medical staff by obtaining primary source verification from: medical schools, training programs, employment affiliations, health care institutions, peer references, malpractice companies, licensing agencies, certification organizations, government agencies and peer review data from internal departments. Ensures all applications and reapplications for medical staff privileges are comprehensive and complete for review and signature by the section chief and department chair prior to presentation at the Credentials Committee meeting, Medical Executive Committee and Board of Directors.
  • Participates in all process improvement initiatives for appointment and reappointment processes. This includes but is not limited to review of policies, procedures, forms and other information related to the credentialing process. Coordinates data collection and distribution with the Process Improvement Department .
  • Immediately informs Director of any adverse, questionable and/or negative information received on any initial appointments, reappointments, or other related functions. Assures follow-up to all negative responses prior to review and recommendation by the section chief.
  • Assists Credentials Committee Chairman in supporting the Credentials Committee. Tasks include: agenda preparation, synopsis preparation, meeting notices and minutes. Ensures timely follow-up on any action items or correspondence discussed at the credentials meeting.
  • Provides administrative support and gathering of information to medical staff leadership, departments and sections. Assists in the administrative development and preparation of criteria for clinical privileges and any revisions to delineations of clinical privileges.
  • Provides support to Medical Staff leadership for the completion of Focused Professional Practice Evaluations (FPPE) and Ongoing Professional Practice Evaluation (OPPE) in accordance with Joint Commission requirements and Medical Staff Policy.
  • Ability to communicate clearly to inform and update members of the medical staff on relevant issues. Responsible for providing critical analysis of systems applications and exhibiting attention to detail of information received, in all medical staff credentialing functions ensuring compliance with the Medical Staff Bylaws, Rules and Regulations, and Joint Commission standards
