About The Position

The individual in this highly-visible position must be proficient in general office; duties associated with a school office. Assist students, parents, staff and principal by maintaining the school office and coordinating efforts to meet their needs.

Requirements

  • Valid driver’s license.
  • High School diploma or equivalent.
  • Good attendance record.
  • Effective communication skills.

Responsibilities

  • Greet visitors to the building, determining the nature of their business, issuing a visitor pass if appropriate and assisting them in getting to the correct room or referring them to the appropriate faculty member.
  • Answer incoming calls and handle in a professional manner; providing routine information concerning schedules, upcoming events, policies and procedures; taking messages and forwarding calls to the appropriate person.
  • Experience working in a professional office setting.
  • Strong computer skills, with proficiency in Microsoft Office, specifically Microsoft Excel.
  • Able to operate a personal computer, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skill.
  • Highly motivated with strong organizational skills; able to coordinate multiple tasks at one time.
  • Self-starter; able to work independently.
  • Strong telephone and interpersonal communication skills.
  • Arranges appointments for the principal and other school staff.
  • Prepares and maintains an adequate filing system.
  • Counts and distributes materials to be sent home with students.
  • Assists in administering first-aid when necessary.
  • Will assist with student medication and work closely with the school nurse/health aide.
  • Transportation; communication/collaboration via two-way radio responsibly.
  • Answer phones, receive messages, and respond to inquiries by staff, students and parents.
  • Ability to establish and maintain effective working relationships with students, peers, parents and community, and ability to speak clearly and concisely in written or oral communication.
  • Serve as contact for parents accuiring student online help/needs.
  • Update student information in PowerSchool as needed.
  • Compile and coordinate Honor Day participants, programs and awardees.
  • Assist in the collection and receiving of money for textbooks and field trips as needed.
  • Ability to lift 40 lbs. to shoulder height occasionally.
  • File and sort paperwork.
  • Troubleshooting copier jams and order supplies.
  • Time Clock Plus steps completed for support staff; missed punches, time verified, clarification, resolved, approved, applied.
  • SmartFind Express steps for certified staff; monitor, regular requests, prearranged requests, verify weekly.
  • Maintain an accurate record of faculty and non-teaching personnel absences and leaves, utilization of substitute teachers, and prepare required reports for the central office at the end of the pay period.
  • Verify criminal background checks for volunteers.
  • Input data for recordkeeping in multiple software systems.
  • Type and/or draft letters of correspondence.
  • Prepare student withdraw forms, assure that exit interviews are completed.
  • Aide in the recovery of Chromebook/Materials.
  • Maintain and order supplies; organize storage areas.
  • Receive, sort and distribute incoming mail & special deliveries; verifying packing lists.
  • Maintain confidentiality
  • Attend meetings and training as directed.
  • Present and communicate in a professional manner.
  • Other duties as assigned by the supervisor.
