About The Position

Brook Landscape is a design-build firm specializing in refined urban outdoor spaces, with work moving quickly from concept to installation through an integrated team of design, construction, and horticulture. The firm focuses on building thoughtful, enduring spaces and maintaining high standards in client experience and field execution. The Studio Manager role is central to the company, responsible for the day-to-day operations of the studio and ensuring smooth business functions across projects, systems, and communication. This position serves as the operational backbone, managing core systems, coordinating teams, and keeping projects, financial processes, and internal workflows organized and on track. The Studio Manager will collaborate closely with leadership, supporting the company's growth by providing structure, clarity, and follow-through in a dynamic environment. This is a high-impact role, not a narrowly defined administrative position, suited for someone highly organized, proactive, and capable of taking ownership across various business areas.

Requirements

  • 5+ years of experience in operations, studio management, project coordination, or similar roles
  • Strong understanding of billing, contracts, project coordination, and financial tracking
  • Excellent organizational and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong writing skills and attention to detail
  • Proficiency with financial, project management, and collaboration tools (QuickBooks, Google Workspace, project tracking platforms)
  • High level of professionalism, discretion, and accountability

  • Experience in a design-build, architecture, construction, or creative services environment preferred

Responsibilities

  • Own day-to-day studio operations and office management
  • Maintain organized systems for files, documents, and workflows
  • Coordinate calendars, meetings, travel, and team logistics
  • Manage office vendors, supplies, subscriptions, and facilities
  • Manage billing, invoicing, and accounts receivable
  • Track project budgets, expenses, and billing schedules
  • Maintain accurate financial records and support reporting
  • Coordinate with leadership and vendors on financial matters
  • Oversee hourly job tracking and internal cost visibility
  • Prepare and manage contracts, proposals, and project documentation
  • Track project milestones, approvals, and deliverables
  • Ensure documentation is complete, signed, and properly organized
  • Coordinate with project managers to keep projects moving forward
  • Support permitting, insurance, and project-related paperwork
  • Act as a central point of coordination across teams
  • Help prioritize work, timelines, and competing demands
  • Anticipate needs and resolve issues proactively
  • Coordinate meetings, agendas, and follow-up actions
  • Support leadership with operational and strategic initiatives
  • Maintain website updates and marketing materials
  • Assist with social media content and basic brand consistency
  • Support business development efforts as needed
