About The Position

Your Role Gensler is seeking a Studio Coordinator to join our Las Vegas office and play a vital role in supporting a team of industry-leading designers and architects. In this role, you’ll provide essential administrative support, act as a liaison between directors, principals, and team members, and help keep projects and operations moving forward. You’ll be the go-to resource for your studio, fostering communication, building relationships, and ensuring that both internal teams and clients experience the highest level of service. Requirements

  • 5+ years of experience in an administrative or operational support role
  • Exceptional attention to detail with strong organizational and technical skills
  • Ability to prioritize tasks, take ownership, and demonstrate initiative with consistent follow-through
  • Ability to work full-time (8:30 a.m. to 5:30 p.m.) in office and additional hours as necessary
  • Proven success managing multiple projects and deadlines simultaneously
  • Excellent communication and relationship-building skills; able to interact professionally with individuals at all levels
  • Naturally proactive and curious, with a desire to learn and understand business
  • Advanced proficiency in Microsoft Office Suite, with a deep understanding of cross-application functionality to enhance collaboration, streamline communication, and improve project efficiency
  • Basic proficiency in Adobe Suite/InDesign required; experience with Miro is a plus
  • Familiarity with Salesforce preferred
  • Proficiency with Microsoft Project, Visio, or other project management tools
  • Strong verbal and written communication skills
  • Experience managing multiple calendars in Outlook and coordinating complex travel arrangements
  • This is not a remote or hybrid position. The successful candidate is expected to be in the Las Vegas office.

Responsibilities

  • Support Managing Director and studio leadership with administrative needs, including scheduling meetings, processing expense reports, preparing correspondence, answering and transferring calls from the office’s main line, etc.
  • Assist Managing Director and studio leadership with operational aspects of running the studio including but not limited to organizing studio meetings, staffing, financial tracking, timecard collection, PTO tracking, proposal/presentation preparation
  • Support Managing Director and studio leadership with active calendar management, detailed travel arrangements (domestic and international) utilizing corporate travel systems, and maintaining professional state licenses and memberships
  • Promote a strong studio culture by planning studio retreats, outings, celebrations, etc. and managing the studio social budget
  • Assist with coordinating internal and external onsite meetings to include reserving conference rooms, preparing meeting agendas, arranging meals and beverages, and greeting guests, which includes lunch + learn CEU meetings with product vendors.
  • Collaborate with office leadership on talent related initiatives such as Professional Development Program (PDP) process monitoring and tracking; onboarding monitoring and tracking; new hire set up (in partnership with IT)
  • Act as a resource to studio members, supporting them with resolving general inquiries and connecting them with the appropriate contacts as needed
  • Manage incoming and outgoing packages from UPS, FedEx, USPS, and other carriers
  • Collect and distribute daily mail to support smooth studio operations
  • Coordinate with the building landlord, including submitting and tracking service requests through the appropriate portals
  • Support a welcoming and professional office environment by monitoring the suite lobby, greeting guests during business hours and ensuring shared spaces are prepared at the start of each day (turning lights and TV on in the morning)
  • Maintain a clean and well stocked pantry, including managing and ordering supplies, snacks, refreshments, and organizing kitchens (dishwasher/dishes)
  • Maintain and prepare conference rooms between meetings, adjust operable walls to support a variety of meeting setups (as needed), and ensure printers/copiers are stocked and operational
  • Manage office inventory and procurement of office and plot room supplies through approved vendors
  • Manage employee parking and access card setup and maintenance, coordinating with the landlord parking security team and Gensler IT through the appropriate web-based portals
