AMSG is seeking a Student Travel Office Customer Service Representative to support our customers at the Department of Veterans Affairs (VA), Veterans Affairs Acquisition Academy (VAAA), Enterprise Shared Services (ESS), Student Travel Office (STO). The Travel Support Customer Service Representative will provide guidance for student travelers and the schools regarding Travel Policy and Academy instructions and review travel documents to ensure policy compliance and budgeting guidance is met.

  • Provide a thorough and specific review of all local and TDY travel authorizations and vouchers.
  • Validate and certify all policy compliant local and TDY travel authorizations and vouchers.
  • Return non-policy-compliant travel authorizations and vouchers to travelers with detailed guidance.
  • Monitor VAAA Travel Mailbox (Outlook), respond to student inquiries, and forward inquiries to the appropriate school or recipient.
  • Answer student inquiries via phone, MS Teams, email, etc.
  • Route questions that can't be answered or approvals needed to the appropriate school or contact and follow up to ensure response.
  • Communicate with traveler and traveler coordinators to support and resolve any issues and questions before and after travel.
  • Document all communications on a transactional basis.
  • Log all processed travel documents in detail.
  • Interact with Key Stakeholders (internal and external).
  • Ensure communication between organizations to streamline and ensure consistency of travel approvals and reviews across the Academy.
  • Provide ad hoc student travel reports.
  • Attend meetings to discuss travel issues and provide resolutions to ensure future problems are limited.
  • BA/BS Degree preferred but not required based on years of relevant travel experience.
  • 3 years of professional/related experience.
  • Must be able to obtain and maintain a VA Public Trust.
  • Basic verification and reconciliation accounting skills.
  • Experience in MS Teams and all MS Office Suites preferred.
  • Preferred knowledge of Defense Travel System and Joint Federal Travel Regulations.
  • High preference given to candidates already familiar with CONCUR.
  • Skilled in rapid learning and adaptation, with a track record of successfully implementing new knowledge.
  • Ability to analyze travel documents, identify relevant travel and financial policy knowledge and execute applicable actions in real-time.
