The position reports to the Project Director, Project Manager, or assigned project leadership and is responsible for assisting the supervising manager(s) with the execution of contract deliverables.

Requirements

  • Students will have completed, at a minimum, their sophomore year of an undergraduate program.
  • Basic knowledge and application of construction contract(s) administration support.
  • Familiarity with Microsoft Office Suite products.
  • Experience with project-related and documentation tracking systems.

  • Ability to effectively maintain information and documents within the office/project filing system.
  • Possess basic knowledge and application of construction administrative coordination and support.
  • Effectively log and track project documents, updating logs in a timely manner.
  • Assemble project information and back-up materials as needed and package in an orderly manner for project team use, owner approval, etc.
  • Take project progress photos and videos.
  • Read basic blueprints.
  • Use BIM and graphic related software.
  • Use Word for word processing.
  • Develop spreadsheets using Excel.
  • Utilize Vanir proprietary systems to assist with the review of information, code items and develop reports.
  • Comply with company policies and administrative procedures.
  • Maintain positive relationships with existing clients.
  • Understand roles and responsibilities of team members.

Responsibilities

  • Provide assistance with the verification and receipt of complete Owner information required for execution of the project.
  • Provide assistance with meeting preparation, support, and follow up documentation involving owner, architects, engineers, contractors/subcontractors, or other project-related entities.
  • Provide assistance creating graphical information and documentation needed to support the development of comprehensive documents for the project.
  • Provide assistance with the preparation of technical project contracting documents.
  • Provide assistance with organizing, verifying, compiling, and assembling project information for the project team's use in performing building assessments.
  • Log and track project documents, including PCOs/COs, RFIs, shop drawing/submittals, contractor correspondence, and punch list logs and updates.
  • File and maintain project files.
  • Provide assistance in developing, preparing, coordinating, processing, assembling, and distributing various reports.
  • Develop and provide training on new technologies being utilized in the industry, as required.
  • Perform all tasks to ensure the quality of Vanir's services.
  • Perform other duties as required.
