About The Position

Under the supervision of the Associate Dean for Student Affairs and the Learning Environment, the Learning Environment Specialist assists in implementing learning environment programming for the School of Medicine (SOM) and School of Health Professions (SHP) for the Macon & Joan Brock Virginia Health Sciences at Old Dominion University. This role will provide programmatic staff support in the following areas: student mistreatment, student conduct and professionalism, and educational outreach. This is a dynamic role designed for an emerging student affairs professional eager to impact the “hidden curriculum” of medical and health professions education. You will be the boots-on-the-ground support for programs that ensure our learning spaces remain professional, psychologically safe, and free from mistreatment.

Requirements

  • Foundational Knowledge: A deep understanding of student development theory, restorative justice, or conflict mediation (often gained through advanced coursework or graduate-level assistantships).
  • Communication Skills: The ability to handle sensitive, confidential information with high emotional intelligence and human-first professionalism.
  • Systems Thinking: Comfort using student database systems and organizing complex programmatic data.
  • Ability to develop and maintain effective relationships with public, partners, customers, and co-workers; while working cooperatively and effectively with others to achieve common goals.
  • Ability to manage time and resources to complete assignments and meet deadlines with precision.
  • Meets attendance/ punctuality requirements.
  • Ability to adapt to changing work environments, work priorities, and organizational needs with enthusiasm and energy.

Responsibilities

  • Oversee the organization and retention of records in accordance with FERPA and Virginia statutes.
  • Process incoming reports for SOM and SHP students and take all necessary actions to ensure the intake file is complete, including gathering additional information from involved parties. Reports center on student misbehavior and the learning environment, including but not limited to medical student professionalism and student mistreatment.
  • Provide administrative support to the School of Medicine’s Medical Student Professionalism and Learning Environment Committees.
  • Assist with processing Medical and Medical Masters Students’ Leave requests.
  • Maintain confidentiality of student information in accordance with the Family Education Rights and Privacy Act and Commonwealth of Virginia statutes.
  • Assist in the development of educational outreach programs for the FOCUS (Finding Opportunity in Collegiality, Understanding and Sensitivity) initiative to encourage a positive learning environment.
  • Assist with the creation of resources to educate the community on the SOM and SHP Compact between Teachers and Learners and the mistreatment of students.
  • Identify published literature to support the development of new materials.
  • Assist in the design of digital resources to assist in the education of mistreatment, including the development of educational videos to be used in trainings.
