About The Position

The Student Services Clerk provides administrative, clerical, and organizational support to the high school's counseling team, student services office, and overall student support operations. This role assists with student enrollment, records management, communication, scheduling, student needs, and daily support for counselors, parents, and students. The position requires professionalism, confidentiality, excellent communication, and strong organizational skills.

Requirements

  • High school diploma or equivalent.
  • Strong organizational, communication, and customer service skills.
  • Ability to work effectively with students, staff, and families.
  • Proficiency in computers, office equipment, and student information systems (training provided).
  • Ability to maintain confidentiality under FERPA.

Nice To Haves

  • Experience working in a school office or student services setting.
  • Knowledge of student information systems (e.g., Skyward, PowerSchool).
  • Experience supporting counselors, administrators, or student-facing services.
  • Basic understanding of high school academic requirements and graduation pathways.

Responsibilities

  • Serve as the primary point of contact for the Student Services Office.
  • Answer phones, greet students and families, and assist with general inquiries.
  • Maintain calendars, schedule student appointments, and assist with counselor workflow.
  • Prepare documents, letters, forms, and reports as requested.
  • Provide clerical support for school counselors, social workers, and administrators.
  • Assist with new student enrollment, withdrawals, and student file updates.
  • Process transcript requests and maintain accurate academic records.
  • Support counselors with graduation audits and student scheduling updates.
  • Maintain and protect student information in compliance with FERPA.
  • Assist students with forms, schedule changes, tutoring information, and basic needs.
  • Maintain sign-in/out logs and monitor student traffic in the office.
  • Help coordinate student meetings with counselors and crisis support staff.
  • Assist with 504, IEP, and intervention documentation routing.
  • Communicate professionally with parents/guardians regarding appointments, paperwork, or student needs.
  • Assist with distributing information on scholarships, college visits, testing, and events.
  • Support communication for attendance matters when directed.
  • Support counseling events (College & Career Night, Testing Days, Senior Events).
  • Assist with preparing materials for AP testing, PSAT/SAT days, and scheduling logistics.
  • Help maintain bulletin boards, information displays, and student resource areas.
  • Maintain confidentiality and professionalism at all times.
  • Coordinate with teachers and staff regarding student needs or counselor requests.
  • Perform other duties as assigned by the Principal or Counseling Director.
