About The Position

Position Summary: The Office of the Executive Vice President for Finance and Administration (EVPFA) is seeking a dependable, detail-oriented student to serve as an Office Assistant. This position provides administrative and operational support in a professional office environment and offers opportunities to develop workplace skills while contributing meaningfully to the mission of the University. The successful candidate will demonstrate strong customer service skills, professionalism, and the ability to manage multiple tasks while maintaining confidentiality. This role supports a welcoming, inclusive, and collaborative workplace and requires the ability to work both independently and as part of a team. Key Responsibilities: The Office Assistant will perform a variety of administrative duties, including but not limited to:

Requirements

  • Must be enrolled at the University of New Mexico at least half-time during the fall, spring, or summer semester
  • Must meet UNM satisfactory academic progress requirements

Nice To Haves

  • Prior experience in an office, administrative, front desk, or customer service role, demonstrated through previous employment, internships, or student positions
  • Demonstrated experience providing customer service and interacting professionally with individuals from diverse backgrounds, as described in work or volunteer experience
  • Experience handling sensitive or confidential information in a professional or academic setting
  • Demonstrated organizational skills and attention to detail, evidenced by prior roles involving document management, scheduling, data entry, or administrative support
  • Proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint), demonstrated through coursework, employment, or skills listed on a résumé
  • Experience using email and calendar systems (e.g., Outlook) for scheduling or coordination
  • Familiarity with office technology, including scanners, copiers, and laptop-based presentations
  • Ability to manage multiple tasks and meet deadlines, demonstrated through academic, work, or extracurricular responsibilities
  • Evidence of reliable attendance and punctuality in prior employment or academic commitments
  • Ability to work independently and collaboratively in a team-based environment, as demonstrated through prior work, group projects, or leadership roles

Responsibilities

  • Greet and direct visitors in a courteous and professional manner
  • Answer and route telephone calls; take accurate and concise messages
  • Sort, distribute, and process incoming and outgoing mail
  • Assist with scheduling appointments using Outlook calendars and email
  • Organize, scan, file, and maintain electronic and physical records
  • Assist with data entry and preparation of tables, reports, and other materials
  • Set up meeting rooms and assist with basic A/V and laptop presentations (when on campus)
  • Assist with meeting and event preparation and breakdown
  • Run campus errands (when on campus)
  • Maintain logs or tracking documents as needed
  • Assist with special projects and other general office support tasks
  • Work independently at times, while also following specific direction and office procedures
  • This position requires discretion, sound judgment, and adherence to confidentiality standards.
