About The Position

The Student Financial Services Specialist plays a vital role in managing the financial operations that support student account services. This position is responsible for overseeing student accounts operations such as third-party billing, processing deposits and refunds, managing loan and student collections, handling private scholarships and waivers, and supporting financial system item type setup and account reconciliation. The specialist ensures timely, accurate processing of transactions, compliance with institutional policies, and contributes to an efficient and student-centered financial services experience.

Requirements

  • A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Responsibilities

  • Coordinate and process billing for third-party sponsors (e.g., government agencies, military, employers)
  • Maintain documentation of sponsor agreements and ensure accurate application of payments
  • Monitor accounts and follow up on outstanding balances or documentation issues
  • Process student and departmental deposits, ensuring accurate recording and coding
  • Track and reconcile deposit activity, maintaining compliance with cash handling procedures
  • Manage past-due student accounts, initiate collection processes, and communicate with students regarding balances
  • Oversee institutional loan collection efforts, including tracking, billing, and coordination with loan servicers
  • Prepare collection reports and assist with external collection agency referrals as needed
  • Review and process student account refunds in accordance with institutional and regulatory guidelines
  • Ensure timely disbursement of excess financial aid or overpayments
  • Process tuition and fee waivers, verifying eligibility and ensuring proper application to accounts
  • Coordinate the receipt and application of private/external scholarship funds
  • Maintain documentation and communication with donors and students regarding scholarship awards
  • Assist with the setup and maintenance of item types in the student information system to ensure accurate billing, disbursement, and reporting
  • Collaborate with SFS staff to ensure proper configuration and testing of new item types
  • Perform regular reconciliations of assigned accounts, including third-party, deposit, and refund accounts
  • Identify and resolve discrepancies, prepare financial reports, and support audit processes
  • Perform other duties as assigned
