About The Position

The Student Credentialing Manager oversees the credentialing, compliance verification, and documentation processes required for medical student participation in clinical education activities. This position ensures that all students obtain and maintain required documentation, certifications, and institutional approvals necessary to participate in clinical rotations at core clinical training sites, out-of-network institutions, and institutional training environments. The Student Credentialing Manager coordinates the submission of credentialing documentation to affiliated and non-affiliated clinical training sites and monitors compliance with institutional requirements and policies governing student participation in clinical education. The position also manages scheduling and administrative processes associated with out-of-network rotations in accordance with institutional policies and timelines outlined in the student handbook. The Student Credentialing Manager works collaboratively with faculty, staff, and clinical partners to ensure efficient credentialing processes and timely student clearance for clinical training activities.

  • Proficiency with Microsoft Office Suite and Adobe Acrobat.
  • Ability to prioritize tasks and manage a high volume of communications and documentation.

Responsibilities

  • Manage and maintain student credentialing documentation required for participation in clinical education activities.
  • Monitor compliance with immunization requirements, certifications, background checks, drug screenings, and other institutional and clinical site requirements.
  • Ensure timely submission of credentialing documentation to affiliated and non-affiliated clinical training sites.
  • Maintain accurate student credentialing records and ensure documentation is updated as required throughout preclinical and clinical training.
  • Serve as a point of contact for clinical training sites regarding student credentialing documentation and compliance verification.
  • Coordinate scheduling of out-of-network clinical rotations in accordance with institutional policies and student handbook guidelines.
  • Provide guidance and training to students regarding clinical rotation scheduling systems and procedures.
  • Assist students with applications and documentation required for out-of-network rotations.
  • Monitor deadlines and ensure rotation scheduling processes are completed in a timely manner.
  • Provide training and support to students regarding credentialing processes and requirements.
  • Assist students in the use of clinical rotation scheduling and tracking systems.
  • Provide guidance to students regarding audition rotation requirements in collaboration with the Medical Education division.
  • Collaborate with the Medical Education, Clinical Sciences, and Student Services divisions to ensure appropriate student compliance and credentialing status.
  • Coordinate with faculty and administrative staff to support clinical placement processes.
  • Maintain effective communication with clinical partners, hospitals, and educational programs regarding credentialing requirements.
  • Organize and participate in the annual Credentialing Fair for OMS-II students.
  • Assist with planning and implementation of the annual Clerkship Fair for OMS-II students.
  • Provide administrative support for clinical education initiatives and events as needed.
  • Maintain confidentiality of student records and sensitive information in accordance with applicable laws and institutional policies.
  • Participate in departmental initiatives and process improvement efforts.
  • Perform other duties as assigned by the Associate Dean of Clinical Resources.
