About The Position

The Student Affairs Assistant at the College of Medicine-Tucson plays a crucial role in enhancing administrative support across various Student Affairs sub-units. This part-time position involves collaboration with the Senior Director of Student Affairs/Student Services on projects aimed at supporting medical students and improving departmental operations.

Requirements

  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of five (5) years of relevant experience, or equivalent combination of education and work experience required.

Responsibilities

  • Provide support to the Office of Student Affairs and its Student Life and Wellness sub-unit by guiding medical students and visitors to relevant resources and addressing their inquiries.
  • Distribute daily mail and packages.
  • Maintain a clean and clutter-free office environment that is inviting for visitors.
  • Order office supplies for Student Affairs and sub-units through UAccess.
  • Create service requests with Facilities Management for various needs.
  • Organize meetings for Student Affairs faculty and staff.
  • Guide new staff, faculty, and student workers on office policies and SOPs.
  • Create reports that support various student awards.
  • Coordinate nominations for the Senior Honors and Awards Ceremony.
  • Order various awards for the Senior Honors and Awards Ceremony.
  • Coordinate AOA/GHHS/Aequitas induction ceremonies.
  • Oversee student locker database.
  • Coordinate room reservations for meetings, events, and workshops.
  • Coordinate the annual Friendsgiving Workshop for medical students.
  • Research, review, and secure venues and catering for workshops and events, ensuring adherence to financial policies.
  • Serve as the Student Affairs Department Access Coordinator (DAC) to provide building and area access to medical students, new staff, and faculty.
  • Assign and maintain student locker distribution.
  • Create and maintain student listservs.
  • Create and maintain student composite photos each academic year.
  • Create various Qualtrics surveys to gather student feedback.
  • Oversee Student Government expenditures and provide guidance on financial policies.
  • Monitor and keep detailed records of the Student Government budget to ensure expenditures stay within the allotted budget.
  • Approve student expenditures for Student Government Interest Groups.
  • Process external awards for students in UAccess for conference, travel, and research stipends.
  • Approve travel reimbursements and expenditures for faculty and staff.
  • Monitor expenditures for each sub-unit to ensure fiscal responsibility.
  • Train Student Government newly elected leadership each year on processes, policies, and resources.
  • Assist in the coordination of the Introduction to the Profession course for incoming medical students.
  • Assist and coordinate special events with other departments, faculty, students, and staff.
