The State Affairs Coordinator works closely with the Troutman Pepper Strategies team to support both strategic initiatives and day-to-day operations that advance the practice group’s business objectives. Key responsibilities include opening new client matters, managing monthly billing, overseeing budgets and expenses, and serving as a primary client-facing point of contact.

  • Quick learner who can effectively leverage new software, mobile applications, and technologies.
  • Advanced proficiency with Microsoft Office Suite (Word, PowerPoint, Excel).
  • Bachelor's degree; any combination of skills, experience, and education that demonstrates the ability to meet the core responsibilities of the role may be considered.
  • Minimum of two (2) years of experience in an administrative support role, preferably in a professional services environment.

Responsibilities

  • Document and standardize business processes across client engagement, billing and collections monitoring, and team operations.
  • Manage engagement letters, conflicts clearance, and new matter openings; proactively resolve issues.
  • Track client-derived action items for the Strategies team and ensure timely follow-up.
  • Prepare and file required ethics reports accurately and on schedule.
  • Plan and coordinate logistics for events, meetings, and presentations for TP Strategies, clients, and attorneys.
  • Interface with clients, attend meetings and events as needed, including at the State Capitol and other external venues.
  • Maintain and update client contact information.
  • Partner with Business Development to develop and refresh collateral (one-pagers, practice and industry placemats, client conversation toolkits, slide decks, website and intranet content).
  • Provide administrative guidance and serve as a point of contact for Interns.
  • Maintain strict confidentiality of firm and client information.
