Start Up Scheduling Coordinator Supervisor

About The Position

We are seeking a highly organized and driven HVAC Startup Coordinator Supervisor to lead our Startup Coordination team supporting new residential construction. This role is responsible for ensuring HVAC startups are scheduled, tracked, and completed efficiently while maintaining strong communication across internal teams and builder partners. This position does not manage field technicians but plays a critical role in managing the startup process from scheduling through completion, ensuring nothing falls through the cracks and all outstanding items are driven to resolution.

Requirements

  • Experience in HVAC, construction coordination, service operations, or similar field
  • Previous leadership or supervisory experience preferred
  • Strong organizational and time management skills
  • Excellent communication and problem-solving abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience with scheduling software

Responsibilities

  • Supervise and develop a team of HVAC Startup Coordinators
  • Set expectations for communication, accuracy, and follow-through
  • Monitor workload and ensure proper coverage across markets
  • Provide coaching, feedback, and ongoing training
  • Oversee scheduling and coordination of HVAC startups for new construction homes
  • Ensure all startup requests are properly entered, scheduled, and completed
  • Track open and aging startups and drive them through completion
  • Ensure all required documentation and close-out steps are completed
  • Serve as escalation point for coordination-related issues
  • Communicate proactively with builders, superintendents, and internal teams
  • Work cross-functionally with Production, Service, Dispatch, Design, and Purchasing
  • Partner closely with the HVAC Technician Manager to identify and address field related issues impacting startup completion
  • Identify and drive resolution of outstanding items (failed inspections, missing materials, scheduling conflicts, etc)
  • Ensure clear ownership and accountability across all teams involved
  • Partner with leadership to escalate and resolve systemic or recurring issues
  • Identify process gaps and implement improvements
