As a Staffing Coordinator at Kessler Institute for Rehabilitation, you will play a crucial role in ensuring that our inpatient rehabilitation hospital operates smoothly and efficiently. This position involves working closely with the Nurse Manager and/or Nurse Supervisor to develop and maintain staff schedules using the When I Work program, adhering to established scheduling guidelines and local practices. You will be responsible for maintaining the accuracy of information within the scheduling system, which is vital for the effective management of nursing staff and patient care. Your responsibilities will include scheduling new staff for both general and department-specific orientations, as well as training them on the When I Work program. You will review daily time schedules for nursing units to ensure accuracy and proper coverage, notifying the appropriate managers or supervisors of any inconsistencies in staffing patterns. In cases where staffing needs arise, you will schedule replacement personnel and maintain necessary records, including the fulfillment of per diem requirements as stated in the Nursing Staffing policy. Additionally, you will maintain payroll records for all nursing department employees, collaborating with nursing managers, supervisors, and human resources to ensure accurate and timely processing of payroll. You will also coordinate the assignment of personnel to areas consistent with their qualifications and keep detailed attendance records for all nursing staff, sharing this information with managers and HR. Forecasting staffing needs is another critical aspect of your role, as it helps avoid emergencies in staffing and ensures that the hospital can provide safe care for all admissions. You will maintain all agency files, ensuring that agency staff are oriented, evaluated, and compliant with all necessary standards. Furthermore, you will reconcile agency invoices with the schedule and manage discrepancies in clinical payroll with the Chief Nursing Officer (CNO) or Nurse Manager. Providing administrative support to Nursing Leadership and other hospital managers will also be part of your duties, along with cross-training and supporting other administrative roles as needed.
