About The Position

Coordinates, develops, posts, and maintains the staff schedule and all related records for all units within Perioperative Services. Coordinates with Director, managers, and supervisors to ensure proper staffing and schedules to efficiently meet operational needs. Serves as an expert in the staff scheduling system and all related records and policies. Builds and maintains collegial relationships with Perioperative Services leadership and staff to best deliver a high level of customer service.

Requirements

  • Associates degree with 2 years of experience working in a medical setting, or the equivalent in education and experience required.
  • Familiarity with word processing techniques and data base management.
  • Proficient in Microsoft Office
  • Must be highly organized, with the ability to prioritize, function independently, and deal with multifaceted aspects of the department.
  • Excellent interpersonal, written and verbal communication skills required.
  • Initiative, discretion, and good judgment desired.

Responsibilities

  • Builds and organizes the master schedule for each unit within Perioperative Services, to include the Main Operating Room, Same Day Program, Post Anesthesia Care Unit, Central Sterile Reprocessing, Inventory & Logistics, and Outpatient Surgery Center, providing appropriate coverage based on daily operations.
  • Creates and manages on-call requests and Baylor schedules to ensure appropriate coverage during nights, weekends, and holidays. Partners with the Director to offer, coordinate, and track Incentive Commitments and Extra Shifts to assist will fulfilling departmental needs.
  • Manages all requests for Perioperative Services, including overseeing staff earned time balances and alerting managers and supervisors when accruals are too low for requested vacations. Receives and reviews Special Requests, which may include vacation requests that fall outside of policy guidelines, conferences and education days, etc.
  • Partners with Director to coordinate Traveler contracts to be sure the specific service line and shift needs are met.
  • Assists with timekeeping functions by maintaining absenteeism, tardiness, overtime risk, and other attendance records and staffing statistics for reporting purposes.
  • Identifies potential staffing problems and coordinates with Director, managers, and supervisors as needed to take appropriate actions to prevent or mitigate. Develops creative ways to problem solve issues utilizing various staffing groups.
  • Maintains the master schedules, making necessary updates as they occur; i.e. shift changes, staff changes, staffing quota adjustments, etc.
  • Utilizes the scheduling system efficiently and effectively; develops work patterns, automations, user groups, and schedule periods
  • Serves as the primary resource and expert of the scheduling system and scheduling reference materials, forms, policies, etc. Applies each unit’s specific scheduling policies and guidelines.
  • Participates in ongoing education activities teaching staff about scheduling system upgrades and orients new staff to the system and all applicable resources.
  • Works as a liaison with the scheduling system vendor to develop and identify opportunities to improve and enhance scheduling practices where applicable.
  • Global perspective of the entire Perioperative Services department to understand the specific staffing needs for each unit.
  • Performs other duties as required or assigned.
