The staffing coordinator/central supply clerk is responsible for managing staffing logistics and maintaining central supply operations to ensure adequate, timely personnel coverage and uninterrupted availability of medical and operational supplies. Coordinates shift scheduling, temporary staffing, and attendance tracking while receiving, storing, distributing, and documenting supplies and equipment to support clinical and operational teams. Key Responsibilities: Staffing Coordinator - Create, maintain, and adjust staff schedules to meet unit coverage needs, using scheduling software and manual processes. - Coordinate assignments for full-time, PRN, per diem, and agency personnel; process shift fills and cancellations. - Monitor staffing ratios and acuity; escalate shortages and recommend contingency plans. - Track time-off requests, overtime, call-outs, and shift swaps; update records and notify relevant supervisors. - Serve as primary point of contact for staff regarding schedules, on-call assignments, and staffing policies. - Verify credentials and availability of temporary/agency staff; assist with onboarding paperwork and orientation scheduling. - Generate and distribute staffing reports and metrics (e.g., vacancy, overtime, agency usage) to leadership. Central Supply - Receive, inspect, and document incoming supplies and equipment; verify shipments against purchase orders and requisitions. - Store supplies following inventory control, infection control, and manufacturer guidelines; ensure proper labeling and rotation (FIFO). - Maintain accurate inventory records; perform regular cycle counts and full inventories; reconcile discrepancies. - Process supply requests, assemble carts/kits, and distribute supplies to departments in a timely manner. - Manage reordering thresholds, submit replenishment requests, and coordinate with Purchasing/Materials Management. - Ensure equipment and supply areas are clean, organized, and compliant with safety and regulatory standards. - Assist with sterilization logistics when applicable and track expiration dates; remove and dispose of expired or recalled items.
