About The Position

This position has responsibility for completion of the clinic nursing schedule and will work with clinic leadership to manage daily staffing changes, monitor PTO and personnel leaves of absence.

Requirements

  • High School graduate or equivalent required. Associates degree in healthcare related field preferred.
  • Computer skills and knowledge required.
  • Proficient in Excel. Must pass Excel competency test.
  • Previous experience with union contracts and scheduling preferred.
  • Ability to learn and use Grand Itasca's time management tracking software, i.e. E-time.
  • Demonstrated ability to apply complex union contract language in scheduling decisions.
  • Excellent communication and organizational skills; with a track record of demonstrated internal and external customer service.
  • Ability and interest to work in a dynamic, potentially stressful environment.
  • Demonstrated ability to follow and adhere to Grand Itasca Clinic and Hospital policies, vision, mission and values.
  • Maintains reliable and consistent attendance.

Responsibilities

  • Adjusts nursing staffing grid.
  • Effectively manages unanticipated schedule changes (LOAs, transfers, resignations, ill calls, etc.).
  • Reacts proactively to projected changing staffing needs using creative problem solving.
  • Accountable for schedule posting deadlines.
  • Prepares clinic schedules in accordance with clinic staffing guidelines and contract terms.
  • Processes requests for time off working with nurse managers and makes schedule changes as needed.
  • Establishes and updates schedule templates.
  • In collaboration with clinic leadership identifies problems and implements improvements in the staff scheduling process.
  • Tracks overtime, tardiness, education and leaves of absences.
  • Tracks PTO requests and denials consistent with contract language.
  • Maintains personnel database to support metric monitoring including, but not limited to, attendance and mandatory education.
  • Prepares standard and requested reports.
  • Maintains scheduling, staffing records.
