About The Position

The Staffing Assistant at Advocate Christ Medical Center is responsible for coordinating staffing needs under the direction of the Manager of the Central Staffing Office. This part-time position requires availability from 7 PM to 7 AM, with a commitment to work one winter and one summer holiday, as well as weekends. The role involves maintaining schedules for Clinical Resource Unit (CRU) nurses, Patient Care Information Associates (PCIAs), Care Companions, and Agency nurses, ensuring that staffing needs are met efficiently and effectively. The Staffing Assistant will also handle staffing requests, maintain accurate documentation, assist with payroll records, and ensure compliance with standards for outside agency nurse scheduling. The position requires strong organizational skills and the ability to work in a high-stress environment while meeting deadlines.

Requirements

  • High school education or equivalent required; college degree preferred.
  • One year of experience in a nursing staffing office or similar setting.
  • Experience with scheduling supplemental staff required.
  • Strong organizational skills required.
  • 1 year of computer experience; experience with AdvocateWorks preferred.

Responsibilities

  • Coordinates allocation of staffing to meet the hospital’s staffing needs under the direction of the Mgr Central Staffing Office and in collaboration with Administrative Supervisors.
  • Maintains all aspects of Clinical Resource Unit (CRU) nurse, PCIA, Care Companion, and Agency nurse scheduling and assignment.
  • Works directly with the CRU Associate to obtain shift availability for future shifts and unanticipated last-minute shift coverage.
  • Assures that all CRU available shifts and unit-based personnel offering extra shifts are promptly input into AdvocateWorks accurately.
  • Receives and follows through on staffing requests and notifications, maintaining accurate documentation of staffing assignments and changes.
  • Records all call-ins and works to provide staffing coverage from the CRU under the direction of the Mgr Central Staffing Office or Administrative Supervisor.
  • Assists with the maintenance of payroll records for the Nursing Resource Office, developing and distributing time reports to Managers.
  • Responsible for all aspects of outside Agency nurse scheduling, staffing, sign-in, credential verification, and evaluation per IDPH, CMS, and DNV standards.
  • Provides staffing data as requested by Nurse Managers and partners with the Emergency Department and Unit Managers to provide Care Companions for appropriate patients.
  • Maintains current credential files for all CRU personnel and outside agency nurses.
