Position Overview Insulet is seeking a highly motivated, detail-oriented, and experienced Staff IP Specialist to join its Legal team. This role will report to the VP, Chief IP Counsel and will have primary responsibilities focused on intellectual property matters. The Staff IP Specialist will play a critical role in managing processes and will serve as the primary owner of key IP operations and portfolio management processes, exercising independent judgment within established legal and business guidelines to drive timely, accurate, and compliant execution. This position is not intended to provide legal advice; it operates under the supervision of in-house counsel while independently managing day-to-day IP operations and priorities.

Requirements

  • 10+ years of experience supporting U.S. and international patent prosecution and IP operations.
  • Demonstrated ability to exercise independent judgment in managing competing priorities, deadlines, and stakeholder needs within established guidelines.
  • Experience owning or leading IP operations processes (e.g., docketing standards, portfolio audits, reporting).
  • Strong knowledge of USPTO rules, procedures, and international patent filing practices.
  • Experience preparing and filing IDS, assignments, and post-allowance documents.
  • Excellent organizational, analytical, and communication skills.
  • Ability to work independently and collaboratively in a fast-paced, hybrid environment.

Nice To Haves

  • Experience supporting medical device, life sciences, software, or high-technology IP portfolios.
  • Familiarity with common IP docketing and document management systems (examples include Anaqua, CPI, Foundation IP, IPDAS, NetDocuments, or iManage).
  • Experience with quality control review processes and workflow optimization.
  • Bachelor’s degree, paralegal certificate, or equivalent practical experience.

Responsibilities

  • Own day-to-day execution of full-cycle U.S. and international patent prosecution operations (from invention disclosure through post-grant activities), ensuring quality, timeliness, and compliance.
  • Independently manage preparation workflows and filing logistics for U.S. provisional and non-provisional patent applications, PCT applications, and national phase entries; proactively identify missing inputs, propose timelines, and drive resolution with stakeholders.
  • Prepare and file patent prosecution documents (e.g., forms, transmittals, and submissions) and manage filing strategy logistics in accordance with counsel-approved instructions and established playbooks, escalating issues and recommending options when exceptions arise.
  • Own the Information Disclosure Statements (IDS) process, including establishing and maintaining reference collection procedures, ensuring timely filings, and independently resolving routine discrepancies.
  • Serve as primary operational liaison to foreign associates; independently manage execution against deadlines; and recommend process improvements to reduce drafting and prosecution cycle time and risk.
  • Manage payment of issue fees and post-allowance procedures, and review of issued patents.
  • Design, implement, and enforce portfolio docketing standards and controls (e.g., intake rules, escalation triggers, and audit routines) to ensure deadlines are captured and met.
  • Develop portfolio dashboards and executive-ready reporting; analyze trends (e.g., workload, cycle times, outside counsel performance) and recommend operational changes.
  • Own data integrity for IP systems; independently identify and remediate systemic issues and lead periodic portfolio audits.
  • Develop and exercise technical proficiency in IP databases and workflow tools; suggest process improvements as appropriate.
  • Triage incoming invention disclosures for completeness and routing; recommend next-step operational actions (e.g., urgency tiering, prior-art intake requests) consistent with counsel guidelines.
  • Administer Insulet’s inventor award program, including interpreting program criteria, tracking eligibility and processing awards.
  • Own operational execution of trademark filing and maintenance workflows, including evidence/specimen coordination, deadlines, and portfolio reporting; escalate substantive legal issues to counsel.
  • Assist with brand protection monitoring and related enforcement.
  • Own IP spend management operations: monitor budgets vs. actuals, forecast portfolio spend, identify variances, and recommend corrective actions to counsel.
  • Independently manage performance metrics of outside counsel and vendors (cycle time, quality, responsiveness), prepare quarterly scorecards, and recommend process changes.
  • Anticipate attorney needs and proactively support IP initiatives.
  • Provide litigation support as needed (e.g., document coordination, docketing support, vendor coordination), consistent with counsel direction.
  • Perform other duties as required.
