About The Position

The City of Salem is seeking a Staff Assistant for the Police Communications and Chief's Executive Support Office. This role is designed for service-oriented individuals who thrive in a collaborative environment and are eager to support the work of the Office of the Chief of Police. The Staff Assistant will perform a variety of professional, technical, analytical, and administrative functions, contributing to the efficiency and effectiveness of the department.

Requirements

  • High school graduate or GED.
  • Five years of progressively responsible clerical experience, including operating a personal computer and accurate data entry/transcription.
  • Ability to type at least 40 wpm with 95% accuracy; some assignments may require 60 wpm with 95% accuracy.
  • Must pass the pre-employment background check and possibly an extensive criminal background check.
  • Must have an Oregon Driver's license or the ability to obtain one within 30 days of residency.
  • Bilingual skills, particularly in Spanish, are preferred.

Responsibilities

  • Type or transcribe correspondence, reports, and other materials on general and technical subjects.
  • Assist customers and staff via phone, email, and workspace chat, responding to inquiries and explaining policies and procedures.
  • Draft and review internal documents, such as letters and memorandums.
  • Arrange and attend meetings, create and distribute agendas, and prepare meeting minutes.
  • Assist in preparing reports and statistical materials, making computations and analyzing information.
  • Organize, coordinate, and track projects, scheduling meetings and appointments.
  • Track and reconcile financial records, including composing financial documents like purchase orders and budgets.
  • Maintain a financial database of contractual funds and audit fund expenditures.
  • Upload documents and financials to a file management system.
  • Organize, inventory, and order office supplies and materials.
  • Maintain the office suite and conference room, coordinating cleaning and repairs.
  • Coordinate logistics for internal meetings, community meetings, and media events.
