About The Position

The Peralta Community College District is seeking a Staff Assistant for a temporary position within the Employee Relations department. This role involves providing clerical and technical support to ensure the efficient functioning of the office and services to employees and external business partners. The Staff Assistant will be responsible for a variety of administrative tasks, including benefits administration, record keeping, and communication with various stakeholders. Requirements

  • Three years of clerical and technical experience in general office work or equivalent training and experience.
  • Proficiency in standard office productivity software (MS Word, Excel, Outlook, PowerPoint) and ability to type accurately.
  • Ability to maintain confidentiality and handle sensitive personnel matters with tact and diplomacy.
  • Understanding and respect for diverse backgrounds of community college students.

Responsibilities

  • Provide administrative support services for the Benefits Office, including benefits administration and enrollment processing.
  • Serve as a resource for managers, faculty, staff, unions, and the public by answering questions and clarifying information.
  • Assist the Benefits Manager with the administration of employee benefits plans, including health, dental, vision, and life insurance.
  • Process requisitions for invoices, supplies, and equipment, ensuring accurate coding and completeness.
  • Conduct research, compile statistics, and analyze data related to employee matters and collective bargaining agreements.
  • Analyze and audit monthly insurance claims and prepare invoices for claims payments.
  • Reconcile vendor billings to HR database information.
  • Monitor benefits-related expenses and maintain internal accounting systems.
  • Establish and maintain complex file systems and document history libraries.
  • Support the administration of the District's tax sheltered annuity program and assist with retiree enrollments in health plans.
  • Coordinate and support the department's activity and appointment calendar.
  • Perform a variety of complex administrative support duties, including typing correspondence and reports.
  • Assist with preparation of presentations, spreadsheets, and reports.
  • Process employee address changes with benefit plan vendors.
  • Update internal and external communication channels, including the website and list serves.
  • Take and transcribe minutes of meetings and post them to the HR/Benefits website.
  • Communicate with IT and Facilities departments regarding service requests.
  • Operate standard office equipment and assist with HR department functions as needed.
