The position involves performing complex and confidential administrative duties to support departmental responsibilities at Duke University. The role requires applying knowledge and skills to resolve non-routine administrative problems, ensuring efficient management of financial accounting and personnel recruitment processes.

  • Process out-of-pocket reimbursements for selected faculty & staff.
  • Serve as Concur (online travel system) and reimbursement initiator for assigned faculty & staff using discretionary or grant funds.
  • Coordinate with undergraduate students and faculty to expend annual Undergraduate Research Support (URS) awards, overseeing awards and processing expenditures in accordance with URS Office guidelines.
  • Reconcile annual Mentorship awards provided to departmental advisors (faculty and graduate student) of undergraduate students, processing expenditures as required.
  • Setup and coordinate application process for faculty and research staff recruitment in Academic Jobs Online system, closing out jobs and submitting final reports to Office of Institutional Equity.
  • Setup and coordinate application process for undergraduate and graduate student work-study recruitment in JobX online system, closing out jobs and submitting hires to Payroll Clerk.
  • Assist Staff Assistant with departmental seminars, including making travel arrangements for visiting external speakers and reserving rooms for meetings.
  • Broad knowledge of clerical and accounting principles and practices, normally acquired through two years of post-secondary education in administrative support or a related business field.
  • Three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities, or an equivalent combination of education and relevant experience.
