About The Position

The Staff Assistant III for the Janet Quinney Lawson Institute for Land, Water, and Air (ILWA) provides office support to the Institute and serves as the main administrative assistance for the Executive Director. ILWA connects high quality research from USU in land, water, and air with policy and decision-makers in the state of Utah. The role of staff assistant will require a highly professional level of service to facilitate the functions and relationships of the Institute with a wide variety of internal and external stakeholders.

Requirements

  • Bachelor's degree, or Associate degree plus two years’ office support experience, or technical training and three years’ office support experience, or four years’ office support experience.
  • Excellent written and verbal communication skills, including interpersonal skills to build and maintain relationships with stakeholders.
  • Strong strategic thinking and problem-solving skills, with the ability to develop and execute innovative research initiatives.
  • Proficiency in project management, including the ability to prioritize tasks, meet deadlines, and manage resources effectively.
  • Ability to build and maintain productive relationships with diverse stakeholders, including faculty, staff, students, donors, government agencies, and community partners.
  • Excellent presentation and public speaking skills, with the ability to effectively communicate complex scientific concepts to non-technical audiences.
  • Exceptional organizational and planning skills, with keen attention to detail.
  • Proficiency in data analysis and evaluation methodologies to measure program impact and outcomes.
  • Knowledge of and experience with USU Banner, ServiceNow, and Box systems.
  • Experience working with USU travel procedures and policies and following Business Services requirements for reconciling receipts.
  • Familiarity with relevant software and tools used in research, data management, and communication.
  • Skilled with computer programs and related software.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.

Nice To Haves

  • Familiarity with support for relevant organizations and processes at local, state, and national levels is desirable.

Responsibilities

  • Maintain calendar and schedule for Executive Director and ILWA events
  • Office administrative support such as travel arrangements, office supply purchases and documentation, business support, and other clerical duties
  • Assist with event planning and support, including conferences, summits, forums, report releases, etc.
  • Assist with external and internal committee meetings, record keeping, and technical support
  • Effective and professional email and phone communications
  • Document generation, editing, and dissemination
  • Collaboration with other team members, USU departments, administration, students, staff, and faculty on ILWA operations
  • Other duties as assigned related to ILWA operations
