Reporting to the Director of Student Care and Advocacy, the Staff Assistant II position provides clerical, administrative, and foundational support to the Office of Student Care and Advocacy. The Staff Assistant II will deliver comprehensive administrative support, assist with departmental marketing efforts, and contribute to event planning and execution while collaborating effectively with campus partners across the University of Tampa. This position is also designated as essential personnel, requiring the employee to report to work as scheduled when University offices are closed due to severe weather or other emergency conditions.

Requirements

  • High School Diploma or equivalent required; AA/AS degree preferred.
  • Two years progressively responsible administrative support in academic office environment.
  • Ability to track and maintain accurate records of multiple in-process projects simultaneously.
  • Must be able to work with faculty, staff, students, Trustees, and guests in a positive manner, helping problem-solve and de-escalate challenging situations.
  • Excellent verbal and written communication skills, including telephone, email, and snail mail communications.
  • Must know how to set up, organize, and maintain a filing system (digital and hard copy).
  • Must be cognizant of deadlines and able to plan work accordingly.
  • Must be familiar with managing databases.
  • Knowledge of or the ability to quickly learn The University of Tampa software programs such as Workday and Microsoft Office.
  • Willingness to embrace new technologies and innovative organizational practices.

Responsibilities

  • Provides overall administrative and programming support for the Office of Student Care and Advocacy and supports the work of the Office of Access and Community Programs.
  • Serves as the initial primary contact for the Spartan Support Program, providing general University policy and procedure information and basic support to students, families, faculty, and staff.
  • Performs data entry and gathering for Student Care and Advocacy in partnership with the Assistant Vice President for Access and Community Programs
  • Assists Student Care and Advocacy with arranging and scheduling large-scale educational events and monthly meetings, including room reservations, media services, facilities set-up, and catering requests.
  • Staff Student Care and Advocacy awareness and tabling activities.
  • Compiles end-of-term reporting on student case trends through Advocate and other software programs.
  • Collects ongoing data throughout semester.
  • Coordinates hiring and payroll for student employees.
  • Manage the day-to-day operations of the veteran's lounge.
  • Maintains inventory, purchase office supplies, and schedules equipment maintenance as needed.
  • Transcribes meeting minutes, maintains document files of groups and processes, and organizes timelines, schedules, correspondence, and other documents as directed.
  • Performs general office duties, including but not limited to answering phones, file maintenance (digital), copying, printing, etc.
  • Performs other duties as they arise, including substituting for the Administrative Assistant (AA) in this area when the AA is not available.
  • Maintains an up-to-date working knowledge of all related technical applications, software, and programs.
  • Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of all cultures and backgrounds.
  • Supervise office assistants.
