The Staff Assistant to the Dean of Students at Westfield State University plays a crucial role in supporting the daily operations of the Dean's office.   • Provides administrative assistance to the Dean and Associate Dean of Students by managing correspondence and preparing various materials.
  • Coordinates projects and reports for departments reporting to the Dean of Students.
  • Acts as a resource for staff, providing information and assistance as needed.
  • Conducts research to respond to inquiries from students, parents, and faculty.
  • Resolves complaints and concerns from constituents or forwards them to the appropriate office.
  • Maintains the divisional budget and prepares purchase orders.
  • Compiles and writes divisional reports, including monthly operations reports and newsletters.
  • Creates presentations using PowerPoint or Canva as needed.
  • Processes leave requests and manages office supplies and travel requests.
  • Organizes and maintains office files and follows state guidelines for file purging.
  • Coordinates evaluation processes for staff reporting to the Dean of Students.
  • Plans and coordinates special programs and events.
  • Updates the Dean of Students and Student Affairs websites annually.
  • Bachelor's degree required.
  • 3-5 years of experience directly related to the duties specified, or 5+ years of equivalent experience.
  • Ability to serve as office manager and multitask in a fast-paced environment.
  • Significant office management experience with increasing responsibility.
  • Excellent communication and organizational skills.
  • Ability to prioritize tasks and meet deadlines with minimal supervision.
