About The Position

This is a highly responsible position within the WIC program. Work is specialized, requiring independent decisions. Incumbent must follow Florida Department of Health in Broward County, and State regulations, policies and procedures. This position is under the direct supervision of the Senior Public Health Nutritionist Supervisor. This position is designated as a sensitive position and is required to maintain confidential information in accordance with state and federal statutes, rules and regulations, as well as Florida Department of Health in Broward County policies, protocols and procedures. This position has been delegated custodial authority for their Program/Unit's information sets(s) and/or secured area(s).

Requirements

  • Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency.
  • Current employee of Florida Department of Health includes OPS, Career Service, SES or SMS employees.
  • Experience performing administrative assistant functions.
  • Experience preparing and maintaining reports.
  • Experience performing intake, eligibility, and issuance in the WIC data system, FLWISE.
  • Experience scheduling WIC appointments by telephone.

Nice To Haves

  • Bilingual in English/Spanish or English/Haitian Creole.
  • Have at least one (1) year of experience performing intake, eligibility, and issuance in the WIC data system, FLWISE.
  • Have at least one (1) year of experience scheduling WIC appointments by telephone.

Responsibilities

  • Prepares and maintains reports including: WIC Dual Enrollment Report, Low Risk Nutrition Education Tally Sheet Report, Clients Eligible for Benefits Report, and Voter's Registration Report.
  • Produces reports and maintains inventory of directly distributed formula, electronic benefits transfer cards, and breast pumps.
  • Regularly checks and submits logs for on-site AED machine, Mi-Fi charging, and computer log-in at the site assigned.
  • Coordinates and orders regular supply orders for the site assigned.
  • Receives and processes interoffice mail for the WIC Program supervisory staff.
  • Collects, reviews, and enters customer service responses from paper WIC program surveys submitted.
  • Functions as receptionist for the WIC Administration Program, including receiving and screening incoming telephone calls and responding to public inquiries.
  • Schedules WIC appointments by telephone for all necessary activities (certification, nutrition classes, nutrition counseling, T30 and check pick-up).
  • Operates FL-WISE computer terminals/printers and completes computer screens accurately.
  • Serves as a back-up for WIC program eligibility and benefit issuance.
  • Serves as backup for ordering, receiving and distributing of special infant formula during designee absence.
  • Assists with special projects and other related duties.
  • Attends meetings and trainings.
  • Completes leave, attendance, EARS, travel and other reports as required and according to established procedures.
  • Assists with inventory organization of supplies, pamphlets, formula, breast pumps, and electronic benefits transfer cards.
  • Records and maintains attendance logs, agendas and minutes for all meetings.
  • Performs other related duties as assigned.
