This role plays a vital part in supporting the university’s mission by ensuring excellence. The Staff Accountant is responsible for a broad range of accounting, compliance, and reporting activities supporting grants, construction/capital projects, advancement gifts, endowments, and other funding sources. This position collaborates with internal stakeholders across the university to ensure adherence to grant regulations, institutional policies, and generally accepted accounting principles. They are responsible for all grant internal and external financial reporting and maintaining compliance with Uniform Guidance, other regulations, and grant agreements.

Requirements

  • Bachelor’s degree in Accounting, Finance, or related field.
  • Proficiency with Microsoft 365 applications, particularly Excel, Word, Outlook, and Teams.
  • Knowledge of generally accepted accounting principles and financial reporting.
  • Ability to independently manage workload, establish priorities, and meet deadlines.
  • Effective verbal and written communication skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • 2-3+ years of accounting experience

Nice To Haves

  • Experience in higher education, nonprofit, or fund accounting environments preferred
  • Experience working with financial systems and grant, endowment, or fund accounting software preferred
  • Familiarity and understanding of Uniform Guidance (2 CFR Part 200) preferred

Responsibilities

  • Prepare grant financial reports and supporting documentation for proposals and post award management for internal and external stakeholders, including federal, state, and privately sponsored grants and agreements.
  • Participate in routine meetings with faculty, principal investigators, and university departments to understand grant requirements, provide financial updates and ensure expenditures align with grant guidelines and university policies.
  • Support the documentation, maintenance, and renewal of the Federal Indirect Cost Rate.
  • Prepare and post journal entries, reconcile grant accounts, and produce accurate and timely internal financial reports showing funds received, expended, and remaining.
  • Manage and monitor Time & Effort Reporting to ensure compliance with grant and regulatory requirements.
  • Track and maintain grant-funded assets, including capitalization, tagging, and compliance reporting.
  • Prepare drawdown requests and reimbursement documentation to ensure timely receipt of grant funds.
  • Create and maintain general ledger accounts for donor-restricted and unrestricted funds to ensure transparency and compliance.
  • Assist with the oversight of advancement gift groups, gifts in kind, stocks, and other contributions.
  • Prepare scholarship, donor, and stewardship reports in coordination with Institutional Advancement and leadership.
  • Assist with the setup, monitoring, and reconciliation of spendable and endowed funds, including projections, budgets and fund activity.
  • Maintain financial oversight and compliance related to donor Memoranda of Understanding (MOUs).
  • Maintain endowment accounting records, including earnings, spending distributions, and fund balances.
  • Utilize and support reporting through Fundriver or similar endowment management systems.
  • Assist with preparation and analysis related to the capital budget
  • Prepare and support depreciation projections, budgeting, and long-term capital planning.
  • Track and reconcile construction and capital project budgets, funding sources, and expenditures.
  • Assist in maintaining construction-in-progress (CIP), fixed assets, and depreciation records within the fixed asset management system.
  • Prepare journal entries, account reconciliations, and supporting schedules.
  • Assist with month-end and year-end close processes.
  • Support internal and external audits by providing documentation, analysis, and explanations.
  • Maintain accurate documentation, records and strong internal controls.
  • Manage rollover accounts and other special-purpose funds, ensuring proper setup, tracking, and reporting.
  • Ensure account activity complies with institutional policies, donor restrictions, and applicable regulations.
  • Perform special analyses, identify issues, and other duties as assigned.
