Sponsored Research Services (SRS) provides research administration services to The Texas A&M University System. We further the research goals of the university by delivering efficient and superior service to members of the Texas A&M System research community. The Administrative Coordinator I provides administrative support for a unit or specialized activity including the exercise of discretion and independent judgement with respect to matters of significance.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of related experience in general office or clerical work.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills
  • Planning and organization skills.

Responsibilities

  • Administrative Operations Management - Oversees planning and execution of administrative operations. Maintains daily office calendar and appointment monitoring. Reviews and monitors project and program timelines and proactively identifies issues. Coordinates office records retention and maintains reference materials. Coordinates inventory and maintenance of office supplies and equipment. Researches and responds to inquiries about office procedures and processes. Coordinates logistical arrangements for meetings and events. Develops and maintains administrative office procedures. Serves as primary or backup administrative support to assigned functional areas.
  • Communication Engagement - Works at building front desk and serves as a primary point of contract for all visitors. Greets all visitors, directs them to appropriate staff or location. Prepare mail and keep electronic log of checks. Provides daily support for facility and office operations to ensure smooth functioning of the Executive Director’s Office. Monitors building conditions including thermostats and temperature issues and reports concerns as needed. Coordinates office services including shredding, recycling, pest control scheduling, janitorial services, and refrigerator cleanings. Maintains FedEx supply inventory and coordinates outgoing FedEx pick-up. Monitors facility-related communications and checks the Facilities mailbox throughout the day. Assists with surplus coordination and communicates with building owner regarding facility-related issues.
  • Support and Coordination - Provides administrative support for executive staff and various team members. Coordinates meetings, conferences, and special events. Ensures compliance with office policies and procedures. Assists with content and maintenance of office website. Provides support for exam processing and assessment platforms. Compiles and distributes candidate itineraries and schedules for interviews. Coordinates logistical arrangements for staff events and meetings.
  • Compliance and Policy Oversight - Monitors compliance with office policies and procedures. Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures. Assists in establishing procedures to ensure compliance with regulations.
