About The Position

The Sr. Sample Coordinator will oversee the monitoring, documentation, and distribution of digital prototypes, supporting functions such as production, packaging, eCommerce, and global events. By leveraging proprietary systems as well as Microsoft applications, the coordinator ensures that all prototypes are accurately tracked and available to the right teams at the right time. The position is part of the Model Studio team with the responsibility of leading the coordination of all prototypes that are used for internal and external events, presentations, Toy Fairs, etc. Effective from the date that Hasbro opens its new Boston location, this position will be onsite Monday-Friday at Hasbro's new HQ location in Boston, MA. In the interim, this position will be onsite Monday-Friday at Hasbro's HQ in Pawtucket, RI.

Requirements

  • 3-5 years in consumer product environment or archive experience with a BA in a relevant field.
  • Direct experience managing prototypes or samples in a fast-paced, cross-functional setting.
  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail.
  • Proven ability to manage multiple priorities under tight deadlines.
  • A commitment to IP compliance and operational excellence.
  • Ability to travel both domestic and international to support onsite marketing and sales events and presentations.

Responsibilities

  • Collaborate with internal and external stakeholders to manage event logistics and deliverables.
  • Coordinate prototypes for trade shows, customer previews, and marketing presentations, ensuring accuracy, aesthetics, and functionality.
  • Receive, unpack, and distribute prototype shipments; manage timely cross-departmental distribution and outbound shipments for events.
  • Prepare and process shipping documentation, including air bills, customs invoices, and tracking reports, to ensure efficient and compliant delivery.
  • Partner with events, sales, and marketing teams to support the set-up and breakdown of major corporate events, such as Toy Fair and brand showcases.
  • Provide on-site support at events through domestic and international travel as required.
  • Ensure secure handling, documentation, and proper destruction of prototype materials in alignment with IP security and compliance procedures.
  • Maintain and update reports tracking sample plans, global milestones, and GBE lists to ensure visibility across teams.
  • Support broader business objectives through participation in special projects and process improvements as assigned.
