Your potential. Where You’ll Make a Difference Act as a key communication link between customers, Sales Account Managers, and internal stakeholders Coordinate multiple fragrance development projects in collaboration with perfumers, laboratories, marketing, production, customer service, and scent design teams Receive and process customer sample requests, inquiries, and time-sensitive requests related to fragrance products and materials Manage project setup and administration, including project entries, submissions, reworks, pricing, adoptions, line extensions, and SAP (Systems, Applications, and Products) entries Maintain accurate project documentation, records, and customer portfolios across systems and shared folders Support customers with pricing, fragrance oils, samples, documentation, and follow‑ups Coordinate daily shipments, prepare labels and shipping documentation, and serve as the on‑site contact for sample logistics Ensure customer portfolios comply with current industry regulations by coordinating safety documentation and toxicology requests with the regulatory team

Requirements

  • 1–3 years of relevant professional experience, preferably within the fragrance or flavor industry
  • Strong customer focus and results-driven. Ability to apply sound judgment, analysis, and sensitivity to customer needs
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Comfort working in a deadline‑driven environment where accuracy and attention to detail are critical
  • Clear and professional communication skills, both written and verbal
  • Proficiency in Microsoft Office tools, including Excel, Word, and PowerPoint
  • Availability and commitment to work on‑site 4–5 days per week

Nice To Haves

  • Experience working with SAP, Project Management, and CRM systems
  • Strong interpersonal awareness and the ability to adapt communication style to different stakeholders.
  • Practices active listening and seeks clarification when needed to ensure a clear understanding and effective task execution.
  • Ability to coordinate effectively across multiple countries, cultures, and time zones
  • Flexibility to work overtime when business needs require
