The Senior Paralegal provides support to the Legal Department by coordinating and assisting with a wide range of litigation, labor, legal, and compliance matters. This role is responsible for maintaining accurate legal records, managing litigation dockets and legal holds, and facilitating communication between internal stakeholders and external partners including external legal counsel. Through diligent and effective handling of sensitive legal matters, the Senior Paralegal plays a key role in supporting the company’s risk management and legal strategy, ensuring that legal procedures are followed in accordance with regulatory and company requirements. This role reports to the VP, Senior Corporate Counsel, and will interact with outside counsel, insurance carriers, corporate archives, accounts payable, IT/Security, and third parties and vendors. This is a Hybrid role that requires the incumbent to live within sixty miles of the Battle Creek, Michigan Headquarter Office. This incumbent must have the ability to work a full shift, come to work on time, work overtime as needed and the ability to work according to the necessary schedule to meet job requirements with or without reasonable accommodation is an essential function of this position. Must be able to use effective verbal and written communication skills on a daily basis. Must have the ability to work in conditions that include multiple and sometimes conflicting priorities, extended work schedules, and specific time constraints. Ability to lead, align, manage, resolve conflict, and work in an ever-changing environment.

Requirements

  • High School Diploma with 5+ years of relevant paralegal experience OR Paralegal Certification, associate or bachelor’s Degree in a related field with 1+ years of relevant experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong problem-solving and analytical skills.
  • Ability to work collaboratively with cross-functional teams
  • Professional approach and ability to effectively interact with internal and external stakeholders.

Nice To Haves

  • Bachelor’s degree in legal studies or related field
  • Paralegal Certification
  • Experience with litigation management systems (e.g., OpenText, Legal Tracker)
  • Notary Public certification
  • Experience supporting litigation in a corporate legal department

Responsibilities

  • Own and maintain the Master Litigation Docket daily, including Commercial, Asbestos, Prop 65, Arbitrations, OSHA, ULP Charges, EEOC Charges, Employment, Workers Comp, and Personal Injury matters.
  • Manage the Litigation Hold System, draft litigation holds, coordinate with outside counsel, gather custodian lists, issue/release holds, maintain IT Reporting Legal Hold Master spreadsheet, and send monthly updates to IT/Security.
  • Support litigation discovery management, including document production and coordination with internal functions and external legal counsel.
  • Review and validate subpoenas or legal requests for employment records; gather, verify, and prepare records; submit MyHR ticket requests; redact sensitive information.
  • Monitor the Service of Process Hub daily; download and forward legal filings (lawsuits, garnishments, subpoenas) to appropriate stakeholders.
  • Issue settlement payouts via wire transfer or check requests; monitor progress to ensure timely payment; participate in monthly litigation/settlement review meetings with Finance.
  • Manage asbestos cases: inform stakeholders, identify cost share, track Asbestos cases, and coordinate with external legal counsel and insurance carriers.
  • Administer Legal Tracker: inform when new matters need set up, serve as backup administrator.
  • Notarize documents as needed
  • Create litigation materials/resources for internal counsel or external counsel (PowerPoint decks, Excel spreadsheets).
