About The Position

The Logistics Administration Coordinator plays a key role in supporting the daily operation of the Mineral and Metal Resources Division logistics and supply chain function. This position ensures accurate documentation, attention to details, timely communication, and smooth coordination across internal teams, suppliers, freight forwarders, and container/bulk ship carriers. The idea candidate is a detail-oriented, organized, and proactive, with strong multi-tasking skills and a commitment to operational excellence.

Requirements

  • AA or BA degree in Business Administration, Logistics or a related field (or equivalent experience).
  • 1-3 years of experience in logistics, supply chain, operations, or administrative coordination.
  • Strong organizational and multi-tasking skills, with the ability to prioritize, work under pressure, and manage time efficiently.
  • Proficiency in MS Excel, Word, Outlooking, PowerPoint.
  • Excellent communication skills in English and Japanese (preferred) – both written and verbal.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as a part of a team in a fast-paced environment.

Responsibilities

  • Coordinate daily logistics activities including bulk and container shipments, including vessel vetting, shipment scheduling, order process, and transportation arrangements.
  • Prepare, review, and maintain shipping documents, invoices, bill of lading, purchase orders, sales orders, customs, and other required paperwork.
  • Track, monitor and report shipments to ensure on-time delivery; follow up with carriers, freight forwarders, and stakeholders as needed.
  • Serve as a point of contact for internal teams, suppliers, and logistics partners to resolve issues and provide status updates.
  • Maintain accurate data in logistics and inventory management systems.
  • Support administrative tasks, including reconciliations and reporting.
  • Assist with freight quotes, rate negotiations, and vendor management when needed.
  • Identify process inefficiencies and recommend improvements to enhance workflow efficiency and reduce costs.
  • Ensure compliance with company policies and procedures, safety regulations, and international/national shipping requirements.
