About The Position

The Sr. Grant Administrator at the Ragon Institute is responsible for the comprehensive management of a portfolio of grants and contracts, ensuring compliance and financial integrity throughout the grant lifecycle. This role involves close collaboration with Principal Investigators and the Administrative Director for Research, focusing on both pre and post-award processes for complex awards, including international subcontracts. The position requires a detail-oriented individual who thrives in a dynamic, collaborative environment and is committed to advancing biomedical research.

Requirements

  • BS/BA degree in a relevant field.
  • 3 - 5 years of demonstrated research administration experience with a focus on pre and post-award management.
  • Working knowledge of NIH and other federal, state, and foundation regulations.
  • Proficiency in Microsoft Office Suite (Word, Excel, Access) and Internet applications.
  • Ability to maintain extensive electronic document and email files.
  • Strong organizational skills and flexibility in a dynamic environment.
  • Exceptional attention to detail and confidentiality.
  • Self-motivated with the ability to work independently and collaboratively.
  • Excellent communication skills across multiple organizational levels.
  • Strong analytical skills.

Nice To Haves

  • Working knowledge of MicroStrategy, PeopleSoft, and Workday is desirable but not required.

Responsibilities

  • Establish administrative and financial structures for all assigned grants/contracts according to sponsor and MGH guidelines.
  • Monitor monthly financial reports for accuracy and budget integrity, providing forecasts for future spending.
  • Ensure compliance with all grants and contracts, addressing any issues promptly.
  • Collaborate with the IRB on human and animal protocols and compliance issues.
  • Work closely with research finance administration and staff, staying updated on federal and state requirements.
  • Maintain a centralized electronic grants management and archiving system.
  • Develop annual budgets in consultation with the PI and Administrative Director, and manage budget year transitions.
  • Verify availability of funds for major purchases and ensure compliance with federal requirements.
  • Coordinate with Ragon Institute staff on financial transactions related to grants/contracts.
  • Complete information report requests from research management, including audits and budget changes.
  • Develop working relationships with site administrators of assigned grants/contracts.
  • Process reimbursements, purchase requisitions, and check requests for assigned grants/contracts.
  • Closeout grants/contracts at the end of the award period and archive documents for audits.
  • Participate in long-range planning and funding strategies for assigned PIs.
  • Ensure proposal compliance with hospital and grantor policies.
  • Engage in departmental and system-wide groups and task forces as needed.
  • Provide technical assistance in grant management to foreign partner organizations.
  • Assist in developing policies related to the fiscal aspects of research.
  • Identify and implement solutions to potential fiscal issues.
  • Assist PIs with budgeting control for clinical trials and funding.
  • Submit PeopleSoft/Workday transactions related to personnel changes.
