About The Position

We are seeking an exceptional career Executive Administrative Assistant to serve as a trusted strategic partner to our executive leadership team. This is a senior-level administrative role designed for a seasoned professional who operates with discretion, confidence, and executive judgment. This position goes well beyond traditional administrative support. You will function as an extension of executive leadership—anticipating needs, managing complex priorities, and enabling leaders to operate at the highest level of effectiveness. The ideal candidate is a polished, proactive administrative professional who brings structure, foresight, and calm to a fast paced, global environment and is comfortable supporting board-level and enterprise-wide initiatives.

Requirements

  • Minimum 10 years of progressive experience supporting C-suite or senior executives in a fast paced, complex, and preferably global organization
  • Demonstrated career progression as an executive administrative professional, with experience operating at a strategic level.
  • Executive Presence: Confident, composed, and professional; able to represent executive leadership with credibility and discretion.
  • Judgment & Confidentiality: Proven ability to handle highly sensitive information with integrity and sound decision making.
  • Proactive Leadership: Anticipates needs, identifies risks, and independently drives solutions and improvements.
  • Communication Excellence: Exceptional written and verbal communication skills; capable of producing and reviewing executive level materials
  • Organizational Agility: Highly effective in matrixed, cross functional environments and comfortable supporting executives across multiple time zones.
  • Composure Under Pressure: Maintains focus, accuracy, and professionalism while managing shifting priorities and high stakes demands
  • Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and tools such as Google Workspace, Zoom, Slack, Asana, Notion, or similar platforms.

Responsibilities

  • Executive Partnership & Strategic Support Act as a trusted partner, gatekeeper, and advisor to executive leadership, exercising sound judgment in managing time, priorities, and access.
  • Anticipate executive needs and proactively manage competing priorities to ensure focus on business critical objectives.
  • Serve as a point of continuity and organization across executive initiatives, ensuring follow-through and alignment with strategic goals.
  • Advanced Calendar & Schedule Management Own and optimize highly complex executive calendars, balancing short-term demands with long range planning across multiple time zones.
  • Strategically prioritize meetings, resolve conflicts, and protect executive time to maximize effectiveness.
  • Plan and coordinate high impact internal and external meetings, leadership offsites, town halls, and board meetings, with meticulous attention to detail and purpose.
  • Board, Leadership & Meeting Coordination Coordinate executive and board meetings end-to-end, including agenda development, preparation of pre-read materials, logistics, and post meeting follow-up.
  • Ensure executives are fully prepared with concise briefings, relevant context, and clearly tracked action items Prepare comprehensive travel briefings that include schedules, key contacts, documents, and contextual information to support executive readiness.
  • Administrative Excellence & Operational Leadership Draft, edit, and manage highly confidential correspondence, presentations, and executive level documents with precision and professionalism.
  • Filter, assess, and respond to incoming requests and communications with discretion, determining appropriate action or delegation Represent executives and the organization with credibility and professionalism in all interactions with internal and external stakeholders.
  • Track projects, commitments, and delegated tasks, ensuring timely follow through and alignment with business priorities Support cross functional initiatives and special projects, often involving senior stakeholders and tight timelines.
  • Manage expense reporting, purchase requests, and budget tracking with accuracy and accountability Organize and manage confidential documents
