About The Position

The Contract Manager assists Senior Management, Division Leaders, Program Directors, managers and accounting in managing the contracts of the agency. This includes assisting with monitoring the contracts and ensuring compliance with the Funder requirements. The Senior Contract Manager supervises and monitors the contract manager and administrative assistant.

Requirements

  • Bachelor’s degree preferred
  • Minimum of 5 years’ contract management or relevant experience, preferably in a not-for-profit setting.
  • Experience working with government contracts preferred.
  • Must be proficient with MS Office suite: Word, Excel, Outlook SharePoint, Teams.
  • Most of the work is performed at a desk or at a personal computer station.
  • Excellent verbal, written, and telephone communication skills are required.
  • Strong organizational skills required.
  • Strong computer and internet skills required.
  • Strong attention to detail required.
  • Ability to interface with all levels of personnel.
  • Ability to maintain composure under strict deadlines.
  • Ability to work on multiple projects at the same time.
  • Ability to work in multi-cultural situations.

Responsibilities

  • Responsible for program contracts and monitoring
  • Provides support to senior management and program directors with the completion and submission of RFPs, contracts, and subcontracts.
  • Provides support and manages work activities of staff to ensure contract and legal requirements.
  • Oversees contract management processes, ensuring compliance while supporting organizational goals.
  • Reviews terms of contracts, advises as to any revisions needed to protect the interests of the agency, communicates with contractor need for modifications and follows through to execution.
  • Obtains and monitors the need for Business Associate Agreements with contractors.
  • Maintains contract system in DocuWare.
  • Monitors e-Sign usage.
  • Audits subcontractors for subcontract and Business Associate Agreements compliance.
  • Maintains, updates, and provides appropriate access to external contract management systems, i.e., Contrack HQ, Grants Gateway, SAM, etc.
  • Completes quarterly monitoring checks of users in external contract management systems.
  • Develops agency policy and procedures related to procurement and contracts.Monitors agency compliance with Purchasing and Procurement and Contracts Policies and Procedures.
  • Serves as a member of the Corporate Compliance Committee.
  • Assists with developing funding opportunities.
  • Assists with writing and submission of grants and contracts on an as needed basis.
  • Identifies possible funding sources to enhance services.
  • Encourages and assists program manager(s) and program staff in developing new funding opportunities.
  • Other duties as assigned by supervisor.
