Join Our Team at MGH Vein Care – Stoneham, MA MGH Vein Care in Stoneham offers a unique opportunity to be part of a growing team that serves as the central hub for prior authorizations for vein procedures across multiple locations, including BWH, Waltham, Boston, Stoneham, and Danvers. Job Summary Summary Performs administrative functions to support smooth and efficient practice operations, under minimal supervision. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).

Requirements

  • Strong customer service experience.
  • Ability to work 100% on-site in Stoneham.
  • High School Diploma or Equivalent required
  • Office experience 3-5 years required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

  • Epic experience preferred (but not required).

Responsibilities

  • Prior authorizations for vein procedures scheduled across multiple MGB locations.
  • Perform routine administrative and clerical duties relating to clinic. Make patient appointments and maintain appointment records. Assist callers with routine inquiries and schedule appointments. Process patient billing forms and scan documents to patient medical record.
  • Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • May be required to accept co-payments. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
