The Department of Neurological Surgery is currently seeking a full time Sr. Clinic Assistant to work in Miami, FL. The Clinic Assistant performs a variety of clerical duties associated with patient care unit operations. Further, the incumbent handles administrative duties, including filing records, scheduling lab work and hospital admissions, making follow-up calls, phoning in prescriptions, and calling to get lab test results. CORE JOB FUNCTIONS Explains HIPPA to patients and obtains signatures. Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports. Tracks pending records to ensure delivery prior to clinic visits. Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records. Travels within the facility and campus to retrieve records, films, or CDs. May collect and prepare specimens. Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information. Assembles, completes, and processes patients’ charts. Assists with ordering, receiving, distributing, sorting, and storing supplies. Reports suspicious or unusual incidents to appropriate supervisory personnel. Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents. Adheres to University and unit-level policies and procedures and safeguards University assets. CORE QUALIFICATIONS Education: High school diploma or equivalent Experience: Minimum 3 years of relevant experience Knowledge, Skills and Attitudes: Skill in completing assignments accurately and with attention to detail. Ability to analyze, organize and prioritize work under pressure while meeting deadlines. Ability to process and handle confidential information with discretion. Department Specific Functions Answers main telephone line for the department: triage incoming calls, responds to questions, directs calls, documents messages in a timely and efficient manner, while providing exceptional customer service. Greets visitors and callers, handles their inquiries, and directs them to the appropriate staff according to their needs. Provides cross coverage for co-workers when assigned or as the need arises. Maintains confidentiality of all information. Adheres to University and unit-level policies and procedures and safeguards University assets. Assists with general administrative tasks including but not limited to uploading of radiology reports, uploading CDs (radiology imaging), visitation logs, printing clinical packages and dropping them off to the clinics, and picking up and sorting the department mail. Maintains a tidy and clean reception area. Assists with cross training employees in the neurosurgery department. Serves as the lead for the clinical assistant team. Cross covers during manager’s absence. Assists with patient advice messages received via MyUHealthChart. Assists the manager with process improvement and clinic assistant protocols. Uploading and routing faxes into EPIC Fluent in English and Spanish.
