About The Position

St. Jude Children’s Research Hospital’s Department of Imaging Sciences is a new academic department that is recruiting faculty-level scientists and engineers specializing in the development of novel imaging technologies. Our goal is to drive technical innovation that will accelerate scientific discovery and improve clinical care. This Senior Administrative Specialist will provide comprehensive administrative and operational support to senior leadership in the Department of Imaging Sciences. This role is essential to the effective functioning of the department and will support departmental and laboratory operations and initiatives. This Senior Administrative Specialist will provide comprehensive administrative and operational support to senior leadership in the Department of Imaging Sciences. Requirements

  • High school diploma/GED required.
  • Minimum Requirement: 4+ years of experience in administration or related areas.
  • Some experience with activities involving planning, organizing, and coordinating is important.
  • Experience with tasks that involve managing routine or repetitive activities, high attention to detail, and clear communication are critical.
  • Demonstrated experience working with office technologies, including Microsoft Office (Word/ Excel/PowerPoint, etc.).

Responsibilities

  • Provide advanced administrative support to department leadership, including calendar management, meeting coordination and event execution.
  • Serve as a primary point of contact for internal and external inquiries related to departmental operations.
  • Assist with budget tracking, purchasing and expense reconciliation in collaboration with finance and grants administration offices.
  • Monitor accounts and expenditures to ensure compliance with funding sources, institutional policies, and deadlines.
  • Support faculty and staff with lab setup, supply ordering and inventory management.
  • Prepare and process financial transactions, including purchase orders, invoices, travel requests, and reimbursements.
  • Provide administrative support for research activities, including coordination with grants management, compliance offices, and core facilities.
  • Assist with the preparation and submission of academic reports, accreditation materials, and internal reviews.
  • Support faculty processes, including recruitment, onboarding, reappointments, promotions, and off boarding.
  • Coordinate academic activities such as seminars, lectures, conferences, and departmental meetings.
  • Coordinate departmental communications, including correspondence, reports, presentations, and dissemination of information to faculty and staff.
  • Manage departmental records, files, and documentation in accordance with institutional and regulatory requirements.
  • Maintain regular and predictable attendance.
